Description

I am looking for one ERMS Consultant for Analysis and market research for ERMS to start ASAP (earliest mid Sept) in Rome (internat. Org.-client = EN-speaking environment), for a duration of 30 w/days. Extensions are possible in the course of the upcoming project.

My client is looking for an ERMS Consultant to assess their current ERMS SharePoint solution, analyse and recommend possible add-on's to improve the system for their functionality.

I am looking for someone to come in and conduct a targeted market analysis in order to identify the most suitable add-on modules/products available on the market which are needed to fill the SharePoint records management gaps vis-à-vis the functional requirements.

Our client is a world-famous international Organisation and a great reference in any CV.

Organizational context

The Information Technology Division (ICT) is responsible for providing information technology solutions and services to support the operations of CLIENT and to ensure that, in fighting rural poverty, CLIENT makes the most effective use of Information and Communications Technology tools and services.

Duties and responsibilities

Your role will include:

  • Identify available products on the market;
  • Conduct an in-depth study on each product to understand its specific characteristics
  • Assess the best products to meet ERMS requirements, to fill in SharePoint gaps and to fulfil needs in accordance with ISO standards;
  • Assess integration feasibility of each product with overall IT infrastructure (eg Outlook, PeopleSoft, etc).
  • Provide exact costs, including initial purchase and ongoing license and maintenance costs, for each product and provide a commercial comparative analysis.
  • Identify hardware implications of software selection
  • This will conclude with a final report including analysis and recommendations of the proposed add on's and how they fit with the clients requirements.

Background

The Electronic Records Management System (ERMS) is the official corporate repository for records and provides staff with access to valuable information. The ERMS was originally developed on SharePoint 2007. The solution was migrated to SharePoint 2010 and recently to SharePoint 2013. With each upgrade, no new functionality was introduced into the application. The system upgrades were purely technical upgrades that took the application to the latest version of SharePoint. Therefore, the technical upgrades did not introduce any additional functionality into the solution or address any shortcomings of the solution. The main issues with the older SharePoint solution is that it does not

  • allow simultaneous routing and indexing;
  • manage routing of incoming faxes and emails;
  • manage records retention and disposition schedules;
  • allow automation of reporting functions;
  • allow the flagging of public records, so does not support implementation of the disclosure policy;
  • allow electronic archiving; and
  • maintain statistics or update authority files.

These shortcomings imply that the system has many limitations for users such as eg

  • Poor user interface,
  • Limited search functionalities,
  • Inconsistent archiving/filing rules,
  • Lack of intuitiveness which makes the system cumbersome and complicated.

This results in limited use of the system and the preference by staff to store their records on their personal computer and/or in divisional shared drives (ie xdesk).
