Job Administrative Assistant

Location: Luxembourg

Start Date: ASAP

Duration: 3 months +

Key skills:

  • Fluent English mandatory, German and/or French would be considered an asset
  • Self starter, ability to take the initiative
  • Very well organised, team work and flexibility
  • Clear ability to work in a diverse (international) environment
  • Good level of dedication
  • Attention to detail, particularly data accuracy     
  • Excellent command of MS Office tools
  • Proven experience of Department administration
  • Good SAP user knowledge
  • User knowledge of SaleForce.com (preference)

About the role:

  • Support all aspects of general officecoordination.
  • Maintain office calendar to coordinate work flow and meetings.
  • Answer telephones and respond directly to general queries or follow up
  • Open, sort and distribute incoming correspondence.
  • File and retrieve organizational documents, records and reports.
  • Coordinate logistics for onboarding external consultants.
  • Support project budgeting work
  • Set up and coordinate meetings and conferences.     
  • Prepare agendas and make arrangements for committee, Board or other meetings.
  • Attend meetings in order to record minutes.
  • Compile, transcribe and distribute minutes of meetings.
  • Collect and maintain inventory of office equipment and supplies.
  • Services requests and administration follow-up
  • SAP administration (in line with the in house systems and processes)
  • Could be assigned to other interesting tasks, depending on level of qualification.
