Project Coordinator

Position Summary

  • The Project Coordinator will be responsible for supporting the Project Management Office, helping to ensure efficient tracking of information, staff, and activities, and provide support to the leadership team.

  • The purpose of this position is to actively support the project initiation phase deliverables, establish project norms and templates, and build solid project management procedures.

  • This role is expected to ensure key stakeholders are informed and engaged and ensures standard project management methodologies and tools are utilized.

  • The successful Project Coordinator candidate will be responsible for supporting the Project Management Office (PMO), establishing project repository and reporting structures, developing project templates and reports, supporting project reporting, and leading consultant and team member on-boarding activities.

  • The initial duties will focus on project initiation, but may be expanded pending long term funding and project needs.

Roles and Responsibilities

  • Manage on-boarding of consultants and staff to the project

  • Coordinate 1st Day Start Info for new resource, coordinate technology for the new resources, phone setup, desk assignment, order/update other hardware needs, and resource off-boarding

  • Update distribution lists with added/deleted resources and update team rosters and access with added/deleted resources

  • Develop and maintain project reporting repository (ie, SharePoint or Folders)

  • Create folders for project teams, archive outdated documents, and manage access and permissions

  • Manage and communicate system access changes and project site update notices

  • Update Project Plans, Status Metrics, Risk/Issues Logs, and Project Reports

  • Update Program Milestone dates, Open/Close out Program level tasks - Action Items, Milestones, new projects, etc., follow up with Action Item owners to ensure the item is updated/completed

  • Escalate At Risk Tasks to Program Leadership

  • Update program level decks as iterations/scope changes

  • Coordinate with team members to gain status information and assist with holding members accountable

  • Manage Meetings, Agendas, Notes Collection

  • Update Meeting Invitations with Added/Deleted Attendees

  • Assign Meeting Place Call Numbers/Facilitate Meetings as needed

  • Take Notes in PMO Meetings and Publish (either via e-mail or in SharePoint folder as applicable)

  • Follow up with Action Item owners

  • Create, Maintain and Communicate Standard Project Templates

  • Coordinate Project Team Communication

  • Consistently provide support for internal and external stakeholder communications and progress reports that effectively outline the project status, risks, issues and action plans to ensure project success

  • Ensure the project deliverables are strategically aligned with business objectives and defined for the team

  • Support the development of a detailed project schedule, project tasks, and interdependencies to achieve the scope through a clearly defined project plan/work breakdown structure

  • Support the management of resource accountability for delivering on the project plan, including providing coaching and mentoring of resources as necessary

  • Support adherence to the approved project methodology

Requirements:

  • The Project Coordinator must have experience as a Project Coordinator and/or supporting Project Manager for a large-scale systems implementation, modernization or ERP deployment. The experience should be in highly matrixed organizations with a preference toward the public sector.

  • Experience in project set-up, team on-boarding, metrics-based reporting, and software-development life cycle management (SDLC) are key elements to this position.

  • 7 years experience serving as a project coordinator in a large-scale technology modernization effort or ERP (large-scale is considered >$5 million or >35 Staff)

  • B.S. or B.A. degree (4 year) OR Associates degree (2 year) with ten (10) years' experience as a project coordinator

  • 5 years combined experience developing project templates, on-boarding documentation, and project repositories

  • 5 years experience in developing and managing project reporting metrics and reports

  • 3 years experience using Microsoft Excel, PowerPoint, Word, and Project

  • Served as a Project Coordinator/Support Project Manager for at least 1 Public Sector (ie, Federal, State, County, City, Municipality) or Higher Education system deployment in the last 5 years (entire deployment does not need to have occurred within the past 5 years; deployments that started more than 5 years ago and were completed within the past 5 years are acceptable)

  • Able to work on-site 5 days per week

  • Experience in PeopleSoft implementations (preferably Financials)

  • Experience working on large projects with teams exceeding 50 staff

  • Experience working with creating and managing SharePoint repository

  • Experience as a developer or functional business analyst helpful

  • Experience creating team communications

  • Experience with Web Content Accessibility Guidelines (WCAG) 2.0 Level AA and Section 508 subparts A-D in a public sector (ie, Federal, State, County, City, Municipality) or Higher Education system environment a plus
