Job Title

Supplier Management Analyst

Reporting to

IT Supplier & Asset Manager

Overview of role

To support our client in delivering a world class Supplier Management Function.

Support the IT Supplier & Asset Manager with implementing Supplier Management best practice and continual service improvements. The overall management and control of the operation of formal contracts for supply of products and services.

Accountabilities

To support the governance and strategic approach of Supplier Management.

To be able to produce high quality documentation.

To ensure the defined Supplier Management policies, processes, procedures, templates and work instructions are adhered to, raising any breaches to the IT Supplier & Asset Manager

To manage suppliers and the services they supply, to provide seamless quality of IT service to the business, ensuring value for money is obtained.

Facilitates the IT Category Forum ensuring all supplier and contract activity is transparent, planned and budgeted, across the supplier life cycle (planning, acquisition, contract management, in-life performance management and renewal, through to retirement).

Establishes procurement and contract policy, supplier strategy and Supplier Management strategies, standards, methods, processes and good practices that ensure compliance with legislation, regulation and third party information security.

Carries out all duties in alignment with Procurement and IT Policies and in collaboration with central Procurement, IT service and solution owners.

Establishes and maintains the supplier and supporting agreements necessary to maintain and deliver the service, and obtain value for money from suppliers and contracts.

Ensures that terms and conditions are aligned with current legislation and policy.

Ensure that underpinning contracts and agreements with suppliers are aligned to business needs, and support and align with agreed Service Level Standards.

Maintain the Supplier and Contracts Database (SCD)

Maintenance of standard contracts, terms and Conditions

Manages supplier performance and develop strategies to address under-performance and compliance failures.

Liaises with designated supplier(s), manages and implements supplier service improvement actions and programmes.

Management of contractual dispute resolution

Performs supplier and contract categorisation and risk assessment.

Ensures contract details are entered in the SAM Tool with appropriate renewal alerts set in accordance to the Policy to ensure timely renewals and proactive contract review, renewal and termination.

To assist with internal and external audits when required to do so.

Produce process flow documentation

To support continual service improvement across the Supplier Management life cycle by identifying areas for improvement and assist in the update or creation of required documentation.

Must have the willingness to develop new skills and take on new challenges

Travel to other sites (London and surrounding areas) will be required from time to time.

Experience:

- Experience of Supplier Management best practice.

- Have experience of working in an ITIL framework and identifying areas of improvement

- Show evidence of continual service improvements to take Supplier Management to the next level.

- Good attention to detail with organisational and process design skills

- Good communication skills and customer focus.

- Diligent and thorough approach to problem solving

- Knowledge and experience of working in a HE environment

- Understanding of ISO 19770 & ISO 20000

Training & Qualifications:

Essential: ITIL v3 Foundation

Desirable: Snow License Manager, BMC RemedyForce, iSeb Supplier Management (or equivalent), ISO 20000. CIPS.
