My client based in Sunbury requires a Workday GPO Transition Consultant, Time and Absence Solutions

Role synopsis

Overview and Challenges

The Workday GPO Transition Consultant for Time and Absence Solutions will play a key Global Process Owner (GPO) role as part of the Workday Transformation project. This person will be responsible for defining the global requirements for time and absence to support the Workday configuration, reviewing localisation requests against the global footprint and managing the integrations between the global time solution, Kronos, Payroll Vendors and the Workday tool.

For deployed time solutions, this role will work with the Workday integration team to give assurance that the appropriate data is passed between systems and that ultimately payroll still receives the same level of data they get today to pay people correctly. This role will also be responsible for the oversite and management of integrated testing between all the systems.

For the Workday tool, this role will work with the Global design team to set the standards for Time and Absence tools, It will then confirm and validate any local requirements and work directly with the Workday team to deliver to those business requirements. Just as with the time solutions, there will be oversite and management of the integrated testing between Workday and the payroll solution for the country.

Operating within the complex landscape for Global Time, this role is expected to support the viability and integrity of the functional solution/architecture for Global Payroll. Successful delivery requires the candidate to be a HRIS professional with deep knowledge of HR systems, batch interface processing, and HR/Payroll/Time business needs and requirements operationally for support and technical delivery.

When supporting the Global Time Landscape, this role will serve as a key focal point for the countries that have migrated (or who are migrating) to the one of the global strategic vendors. The role will evaluate local requirements against our global Time templates and ensure compliance to the Global system standards. Also, this role will work with many cross-functional teams, IT teams, and my client's teams in countries around the world.

Imperative to this role is the ability to work within the function and across the various segments with a global perspective. Creating a successful path forward will require engagement with customers across the landscape globally, not exclusive of senior leadership who has ultimate sign off authority to many of the initiatives which will be proposed - creating alliances to garner positive influence with this group will be of particular importance.

Of equal importance is a similar level of relationship management with selected and deployed vendors - gaining alliance and positive working relationships with vendors and vendor management to gain competitive advantage is critical to the success of this role.

Staff/Resources

This role reports directly to the Global Portfolio Manager, Payroll and Time and has the responsibility for driving the respective areas of work in relationship to the Workday Transformation project.

Key accountabilities

Strategy

As the GPO for Time and Absence, this role is responsible for establishing the global template/footprint for Time and Absence along with the integrations in and out of Workday and Payroll.

Engagement

  • To be the central point of contact for Time and Absence within the Workday Transformation Program at a day-to-day project level
  • Responsible for the articulation of the time strategy and framework to the business and for exploring how their requirements do/do not fit within that framework
  • Responsible for documenting the agreed business requirements (at a high-level) as a means of initiating new requests
  • Coordinate with IT&S Partners and the HRIS team
  • Work with the business as localisation workshops are held to finalise their business requirements and test them against the Global footprint

Deployment Activities

  • Responsible for maintaining the operational integrity of the outsourced and developed interface in the global landscape in support of the global HR Ops strategic direction
  • Evaluate new local requirements (including reviewing request for compliance to Global standards, a balanced evaluation of criticality and where necessary, escalating items requiring urgent action).
  • Approve final designs/solutions and develop/execute test scenarios to validate the delivered build product
  • Responsible for assisting in deployment integrity when deploying solutions, to ensure that developed outsourced solutions meet the functional needs of the business and map to the overall design landscape
  • Serve as the key integrator between the global vendors and the Workday project team on functional and technical questions/issues/integrations.
  • Provide project management leadership for the build and integration work for time and absence
  • Partner with country HR Operations to document complete and robust business requirements and articulate them to IT&S/HRIS for sizing (challenging estimates where necessary)
  • Supply on-going communication to the business and the vendors
  • Liaise with the HR System support team
  • Ensure involvement at key points in project life cycle for system enhancements by:
  • Coordinate discussions with all appropriate parties (clients, end users, technical team, global team, etc.)
  • Gather and document functional requirements
  • Define Testing strategy and scripts
  • Perform appropriate level of testing as required and review test results
  • Define Rollout, cutover, training and communication requirements
  • Sign-off and integration planning

Essential Education

BA/BS in associated field (Degree Level Education)

Essential experience and job requirements

  • Deep functional expertise in HR and Time (payroll preferred)
  • Knowledge of batch file technology and interface processing a plus
  • 5 years or more experience in HR and Time systems with preferential emphasis on our Global Time Vendor solutions and Workday or similar ERP/time solutions
  • Experience in working with Vendors and file transmissions to support the outsourced process
  • Strong understanding of HR, Payroll, Time and business operations
  • Experienced in working with global stakeholders and team members
  • Proven success in managing Deployment Projects in multiple countries with multiple vendors
  • Proven experience in managing small to large and complex level projects with multiple work streams running concurrently
  • Ability to work independently, with minimal direct supervision
  • Ability to work in pressurised environment with tight deadlines
  • Ability to work at strategic and tactical/operational levels
  • Ability to work non-standard business hours to work with global team members and within deployment timelines
  • Proficient in use of MS Products (especially Excel and PowerPoint)

Desirable criteria& qualifications

  • A detailed understanding of the integration of HR and Payroll/Time
  • Experience in working in a HR operational environment
  • Experience in working with HR and time and payroll data, including analysis and report creation
  • Strong Project management ability
  • Experience with integration between HR, Payroll and Time systems
