We are looking for a Customer Service Officer to work in a pharmaceutical organisation in Flanders, Belgium.

Minimum 5 yrs experience
Language: either combination of English + French , English + German or English + Spanish or Italian
Location: Flanders/Belgium, either Leuven or Mechelen
Start: 1st week of June
Salary: Annual Base Salary up to 40,000 + social security

KEY ACTIVITIES TO BE PERFORMED
Introduction, reception and processing of customer orders onto system. Follow up and Customer order tracking. Check availability of goods (capsules for customers who buy stock items). Price implementation / application as per direction from corresponding sales manager.
Coordinate production and shipping of capsules (India, Croatia and warehouses in (Netherlands and Belgium)
Prepare and send invoices and other relevant documents like CoA to customers, follow up payments.
Fill in the color development form and send it to the respective coordinator in India or Croatia. After receipt of the development, keep a copy of composition and follow up with the customer for approval.
Fill in the Artwork Requisition form and send it to the coordinator in India or Croatia for artwork development. After receipt of artwork send it to the customer for approval. After receipt of approved artwork from the customer, send it to the coordinator.
Fill in the Capsule Sample Requisition and send it to the coordinator along with the shipment & packing details desired by the customer. Follow up sample shipment and results with the customer.
Together with the coordinator plan shipments from the production sites to our warehouses & with the warehouse managers, plan shipments to the customer sites. Monitor delivery performance (OTIF)
Track and monitor the entire chain between India/Croatia and the warehouses in Europe (incl. consignment stock). Manage inventory of stock items. Prepare stock report for items on a monthly basis. Propose adequate levels on customer demand.
Reception of customer comments and complaints. Follow-up, Monitor all customer complaints and prepare a monthly report.
Ensure and follow up for repeat sales with certain customers (mainly small nutraceutical customers) and maintain relationship with existing customers.
Prepare weekly / monthly reports on stock and sales. Dispatch tracking and Purchase Order tracking reports. Prepare flash reports
Together with sales and financial manager, set and monitor credit limits for all customers to whom credit terms are given. In case of change in business trends, take approvals for revised limits.

KEY COMPETENCIES REQUIRED
Communication and influencing skill
Customer relationship management, basic sales skills
Language skills: French, Dutch, English + another language as per the markets served: German, Spanish, Italian
Knowledge of order processing, invoicing, basic logistics
Computer literacy (Excel, MS Office any ERP like SAP)
