Programme & Project Overview

  • An exciting and high profile opportunity has arisen within the Executive Office in the role of Executive Assistant.
  • We are looking for a highly motivated and ambitious individual to work directly for the Director who is responsible for over 500 people operating at Head of and Director level.

Responsibilities, Accountabilities and Deliverables

  • Prepare, analyse, review, brief and present a range of reports and papers where appropriate, investigating issues with the relevant business areas.
  • Act on behalf of the Executive on specific issues or committees/project teams where duly authorised.
  • Work closely with the Director and divisional teams to ensure that all business submissions are delivered on time and to the required standard to all governance forums and committees as appropriate
  • Undertake specific research on a wide range of subject matters, recommending solutions/actions where appropriate as directed by the Executive. This could be specific projects, gathering feedback on papers for peers, gathering feedback in order to shape committee submissions and papers.
  • Engage with stakeholders, providing guidance, advice and challenge to ensure the business/functional area is appropriately represented and responsive to matters arising.
  • Champion and identify opportunities for any change that will enhance colleague engagement and continuous improvement.
  • Build and maintain networks in order to influence the agenda, identify best practice and build the profile of the business/functional area.
  • Liaison with internal and business communications teams, External Affairs and Press Office, to plan, co-ordinate and deliver conferences, produce speeches, presentations and communications activities, cascades and events, ensuring appropriate messages are aligned to business strategy and communicated to key audiences/colleagues as necessary.
  • Manage projects on behalf of the Director ensuring alignment the business strategy and policy and in conjunction with other central functions and divisions across the business.
  • Ensure compliance with instructions, procedures and guidelines together with all relevant regulatory and statutory requirements where appropriate implementing actions to protect the business at all times
  • Provide insight and expertise to support the implementation of relevant policies, procedures, products and services ensuring enhancements are delivered to support operational efficiency to reflect the changing needs of the business and risk issues.
  • Build and maintain strong working relationships and engage cross functional stakeholders to optimise business results and provide value-add contribution to relevant meetings
  • Establish and maintain the divisional performance management process.

Essential Skills, Qualifications & Experience

  • Strong attention to details as well as great analytical skills
  • Must have strong EA/support experience
  • Must have experience within change management environment
  • Must have experience of oversight of end to end project life cycle
  • Experience dealing with multiple different projects and adhering to tight deadlines
  • Able to build strong relationships and manage stakeholders effectively
  • Able to manage confidential matters discreetly
  • Able to provide guidance on issues related to governance and compliance
  • Experience preparing and presenting reports
  • Research experience
  • Board level support experience
