Campus Recruitment Coordinator

The Global Analyst Development Program aims to attract, deploy, develop and retain high calibre entry level talent, to meet strategic EMEA talent pipeline targets for Operations, Technology, Finance and HR.

The Recruitment Coordinator (RC) is the operational core of the overall campus recruiting function. The RC is accountable for the full life cycle of campus recruitment from university & on-site event planning, candidate tracking & management, interview & assessment co-ordination, recruitment projects and data management. The RC must deliver a responsive service to senior clients and partners while managing multiple complex processes in a highly pressured and fast paced environment.

Key Responsibilities:

Interview coordination

  • Planning and coordinating interview days and assessment centres
  • Collecting interview feedback and referral attestations from interviewers and updating WCN
  • Liaising with candidates to arrange interviews and respond to any general recruitment or application queries
  • Liaising with the business to secure interviewers
  • Coordinating the business (all levels) during interviews and assessment centres
  • Send confirmation and reminder emails and/or phone calls to candidates and business in advance of interviews
  • Respond to all candidate and business emails and phone calls within 24 hours of receipt
  • Ensure all interview and assessment centre material is in place
  • Provide offer decisions to all candidates within 48 hours of assessment

Reporting:

  • Tracking and reporting of all pertinent candidate information
  • Yello/RECSOLU/Taleo - Manages all system data, from new role creation and job description generation, candidate management, referral and profile question review, to onboarding of the hire. Must know the purpose and background of every data field and ensure system is properly maintained.
  • Powerpoint/Pitchpro - Generates presentations for clients and key partners, requiring ability to produce accurate quantitative, raw metrics and to render into comprehensible public-facing form.
  • Maintain up-to-date school team lists (email distribution list and excel spreadsheet).
  • Run all data tracking statistics (candidate application numbers, event attendance, diversity statistics) within one week at the end of the season (upon request).
  • Data integrity - ensures all data is properly captured in systems, undertakes monthly audits of various data points.

Event coordination (including Spring Week & Intern programmes):

  • Upload all events on Yello at least four weeks in advance of an event
  • Sign up for interview and presentation dates via career services
  • Event logistics (room booking, AV, catering, logistics, marketing collateral, business sign up, presentation material) for campus and in-house events
  • Coordinate with campus marketing team to request event advertisements and collateral for campus/in-house events
  • Send invitations to students and business event attendees; serve as main point of contact for candidates and business alike
  • Track event RSVPs and provide Real Time updates to key stakeholders
  • Send confirmation and reminder emails and/or phone calls to candidates and business in advance of events
  • Handle sign-in sheets or any other event related housekeeping items following events
  • Attend and help to execute events, as needed
  • Pass expenses and sponsorship invoices to Team admin for processing, track outstanding invoices
  • Update school team budget with all expenses within 48 hours of an event taking place

Candidate management

  • Maintain accurate, consistent candidate information in the relevant systems
  • Create and send out offer letter to candidates, ensuring correct terms and conditions applied
  • Maintain candidate files
  • Update systems and trackers with accepts, declines every 24 hours
  • Send out accept and decline emails to candidates
  • Request relocation and sign on checks
  • Manage the on boarding process for FT & intern hires
  • Monitor & respond to queries in the shared mailboxes
  • Respond to all candidate and business emails and phone calls within 24 hours of receipt
  • Ownership of onboarding such that candidates are paid correctly, and onboarded to the correct cost centre

Skills/Competencies:

  • Impeccable attention to detail; tenacity and adeptness in problem-solving and identifying solutions; superior, constant sense of organization and prioritization.
  • Client Orientation: sophisticated written and verbal communication skills and presence, positioning the RC to serve as a consultant to internal clients and an ambassador of the firm to external candidates at all levels; inclination toward seamless relationship-building with internal partners and global counterparts.
  • Ability to handle (and thrive in) a fast-paced, high-pressured environment: the volume of work, tight deadlines, and nature of the client base leads to an intense work environment that can be challenging, dynamic, and rewarding. Candidates should gravitate towards this type of environment and find themselves excelling under pressure.
