For our life-science client based in Geneva, Switzerland, we are lookinf for an experienced:

Executive Administrative Assistant

Job Purpose:
The purpose of this position is to support the Head of Franchise EMEA and to collaborate with the regional Marketing team by providing general administrative support.

Major Accountabilities:
*To manage all secretarial and administrative work (in writing and by phone). Deal with incoming correspondence: both hard copy and email, & calls, independently, autonomously or according to instructions.
*To organize and maintain filing
*To follow-up pending issues and projects and help Manager and his EMEA Team in work flows and deadlines.
*To organize travels: booking airlines tickets, rental vehicles or ground transportation and hotel accommodations. Assist in applying for Visas for Managers and visitors.
*Meetings, setting agenda topics as well as specific meetings, video and telephone conferences.
*To follow-up, collect and organize data. Be able to draft any kind of request from supervisor in order to collect precise and concise data.
*To assist on various presentations.
*To arrange and follow-up payments of invoices.

Ideal Background:
Education / Professional:
* Minimum: Vocational training level administrative work II.
* Preferred : Bachelor degree or equivalent

Experience:
* Minimum 5 years as an administrative assistant.
* Knowledge of multinational company and environment.
* Strong verbal and written communication skills and ability to interact comfortably with individuals at all levels.
* Advanced computer skills in MS Office (Word, Excel, Power Point), electronic calendar and mail software (Outlook)
* Proven administrative skills and ability to prioritise manage and complete a variety of tasks at times in periods of high pressure.

Languages:
* Very Good written and spoken English
* French: Good to have
* Knowledge of other languages (e.g. German, Italian) advantageous
