Description

A large UK retail brand, who are part of a wider group are seeking an Executive Personal Assistant to the Group CFO.

The role is to provide support to the Group Chief Financial Officer and the leadership team to ensure issue resolution and accurate prioritisation of tasks and ensure the efficient flow of information between the Group Chief Financial Officer and internal and external customers in order to achieve corporate goals.

To act as communications manager within the division by organising events, team away days and communications across our four finance sites.

Accountabilities -
  • To take ownership and manage queries through to resolution with relevant business owners on behalf of the Group CFO.
  • To investigate and own any issues raised to the Chief Financial Officer from other Directors, resolving as appropriate without escalation
  • To collate, prioritise and edit all information and papers required for meetings and ensure sufficient time is given to enable the Group CFO to familiarise themselves with the content.
  • To manage the Group CFO, their diary and appointments on a daily basis.
  • To read and prioritise all communications coming into the Group CFO, responding where possible and ensuring timely and accurate responses are issued.
  • To understand the content and context of communications to the Group CFO to enable swift and accurate resolution of queries.
  • To research and prepare presentations for delivery by the Group CFO.
  • To provide specific support and an exemplary service to the Group CFO on relevant matters relating to the PLC Board, Operating Board and all external stakeholders.
  • To organise events and liaise with external visitors and promote the professional outlook of the company.
  • To organise Store visits and deal with related issues.
  • To maintain a filing system to ensure timely retrieval of information.
  • To arrange and coordinate internal and external meetings.
  • To conduct an in depth daily analysis of data for performance reports.
  • To ensure that all expenses are actioned correctly.
  • To provide secretarial minute taking for any Finance meetings as and when required.
  • To work closely with the Group CFO and to support them through organising activities and events aimed at the development of the Division.
  • To take full accountability for organising and facilitating all divisional communications, such as cascades, and make sure all areas of Finance have a share of the agenda
  • Take ownership to review and ensure all communications being prepared by other internal departments on behalf of the Group CFO are correct, accurate and prepared in a timely manner challenging and redrafting where appropriate.
  • To coordinate meetings and away days for the Finance leadership team in order to develop the team and to ensure that all areas are aligned in their work approach as well as developing the team and their relationship.
  • To organise all events for the wider Finance team, including the annual sports day, C6 and C5 conferences with the support of the HR Manager for the division.
  • To liaise with the Great Place to Work group, charity team and organisers of events that take place within the Division so the Group CFO has full awareness of activities and to ensure they can be present and briefed where necessary.
  • To summarise regular communication documents to ensure the Group CFO is aware of key information.
