Description

To provide commercial, financial and general administrational support to the Senior Director of IT and his team. Additionally the role will provide administration support to the co-located Business Systems Manager on as needed basis

  • Manage all suppliers invoicing and process all payments through the various finance systems. (Mainly JD Edwards).
  • Raise purchase orders for IT projects and operational costs. Track all suppliers invoicing and work with finance to allocate charges accordingly.
  • Production, coordination and tracking of all financial documentation, reporting, forms and approvals eg CER, cost centre expenditure phone usage.
  • Capturing relevant information and inputting to various databases, reporting tools
  • Production of presentations, meeting minutes and other information production, coordination and distribution.
  • Handling all correspondence both internal and external.
  • Travel, flights, Venues and conference coordination, booking and tracking.
  • Coordination of external supplier meetings and reviews.
  • Training administration, booking & tracking.
  • Leave, sickness and expenses tracking and administration.
  • Joiners and leavers administration
  • Document control, filing and supplier supplied information management.
  • Working with other PA's in coordinating shared office facilities.
  • Single administrative interface for the director, his team and other managers to the rest of the business.
