Description

Summary:
  • Directly support and serve the executive leader in his/her interactions with his/her leadership team, his/her peers and his/her multiple bosses.
  • Build effective working relationships and maintain a comprehensive awareness of the organization
  • Proactively coordinate the executive's calendar, which may be comprised of heavy meeting schedules and extensive travel
  • Plan, schedule, and arrange business meetings and travel itineraries
  • Prepare and reconcile expense accounts
  • Maintain constant alignment with executive assistants of peers and bosses, manage the Operating Rhythms of the business in alignment with the Operating Rhythms of the Tier 1 business
  • Make complex travel arrangements and coordinate itineraries
  • Arrange video conference calls with global team members ensuring that the appropriate time is scheduled and executive is prepared for these meetings including assembling and
  • Distributing meeting materials
  • Provide discrete and confidential coordination of sensitive company information
  • Generate letters, reports, meeting minutes, memoranda, graphic presentations, general correspondence, personnel actions, and other documents, as assigned
  • Review and process expense accounts and related administrative documents requiring approval of the manager
  • Organize/maintain an efficient filing system for correspondence records, reference data, reports, and sensitive documents
  • Drive key team events such as staff meeting agendas, all hands meetings and the coordination of other events as needed.
  • Direct business contacts to appropriate managers
  • Establish and maintain strong communication links with business leadership, customers, partners, etc.
SKILLS:

Desired Characteristics:
  • Bachelor's Degree preferred (Business Administration or other related field)
  • Ability to interact with senior executives, including CEOs of customers and Tier 1 businesses
  • Ability to quickly identify stakeholders and key people in complex matrixed organization
  • Excellent oral and written communication skills
  • Experience with data preparation and formatting in Excel
  • Strong organizational skills and exceptional attention to detail and accuracy
  • Experience in a global and technology environment
  • Experience using SharePoint and comfortable learning new tools and software.
  • Ability to work accurately, with minimal supervision, under deadline situations in a fast-paced environment
  • Ability to prioritize and anticipate needs
  • Ability to maintain security and confidentiality of highly sensitive information
  • Ability to deal with ambiguity and handle stressful and difficult situations with composure
  • Ability to balance workload under short deadlines and changing priorities in a fast paced environment
  • Ability to work successfully in a team environment and build effective working relationships
  • Strong interpersonal and leadership skills
