Description:
Project Management coordinator / planner oversees the process implementation in support of the HCC&P Global Transparency Management (GTM) / PRIZMA Program. The HCC&P PMO coordinator supports the GTM Program Lead EMEA in the management of all workstreams (Functional Inputs / Outputs; Data / Reporting Technical Integration; Testing; Process Reediness & Change Management; Communication & Training; Transparency Reporting Preparation), which are composed of multiple, cross-sector, cross-functional projects. This person will focus on tracking and coordinating the integrated PRIZMA roadmap including action items and its follow ups.
Preferred location: Beerse, Antwerp, Brussels. Paris

Responsibilities:
• Program planning & scheduling
o Support to schedule and actively to monitor project timelines
o Constantly monitor and report on progress of the project to all stakeholders
• Risk, Issue & Decision Management:
o Program RAID (risk, action, issue, decision), weekly RAID reports, RAID management and escalation / governance process
o maintaining regional action item list, which includes also company specific action items, including follow-ups, utilizing RAID, just flag if items belong to EMEA and to which country / company
• Governance Management
o Manages calendaring and agenda of core team sessions, ensure timely distribution of minutes
o organizing / scheduling meetings (TC, WebEx, f2f); maintaining calendars, collecting topics, attend most relevant meeting, taking the minutes, sometimes even leading calls / meetings
• Program Status Reporting
o Create and present status and leadership reports defining project progress, problems and solutions
o Status collection process, weekly detailed status report, weekly scorecard status report, clarity on sensitive issues and good PM reporting
o maintain global / regional dashboards
• Program Infrastructure
o Program document library and distribution list, and its management
o documentation and archiving (standard global project SharePoint folder)
Technical skills:
Some of the key competencies crucial for success in this role include the following: critical thinking and problem solving skills, planning and organizing, decision-making, communication skills, influencing and leading, team work, adaptability, and stress tolerance; and of course a proven record of project management experiences.
This person has to proactively be well connected with the EMEA PRIZMA lead and core team members (Ops, HCC, IT/ETCS) and also with the global PMO. Other required capabilities are but not limited: MS Office application; loves details, 'zooming in / zooming out', analytical, energetic, good in English, embracing team members, firm and with a strong back bone to challenge team members on deliverables.
