Senior Administrative Assistant, Poole- 12 months

High profile investment bank requires a competent Senior Administrative Assistant to join their team in Poole on a 12 month contract. You will be responsible for performing a full range of diversified secretarial and administrative functions of a highly responsible and confidential nature for the department head or direct report to the Vice Chairman or Chief Executive Officer. Routinely exercises a great deal of latitude in independent judgment when supporting department manager or direct report to Vice Chairman.

Must have excellent administrative skills; prior experience as an administrative assistant or a personal assistant to senior manager; proficient in computer software such as word, excel, outlook or Lotus Notes calendar, etc.

The environment is fast paced and deadline driven. Strong communication skills and a confident nature are essential for this team.

The administrator is responsible for ensuring all assigned tasks are performed both accurately and timely in order to provide a high quality service to our clients and minimise risks to the organisation. Must be able to identify/categorize customer and employee inquiries and prioritize them for the senior manager. Must exercise judgment and discretion regarding access to confidential employee and client information.

Responsibilities

  • Operations - Ensure the completion of assigned tasks whilst adhering to all procedures and checklists
  • Query Management - Ensure queries are resolved and responded to both timely and accurately
  • Risk Awareness - Understand the risks and controls associated with the role to ensure the prevention of errors and issues
  • Reconciliation & Reporting - Analyse and maintain data, reports and other management information
  • Process Improvement - Participate in our continuous improvement initiatives
  • Personal Development - Complete all assigned training and show a desire to learn about the role, group and business
