Events Manager - Public Sector
- To manage projects from inception to closure by; planning, designing and managing the logistics of a visit or event to ensure desired outcomes are achieved and ensuring value for money through the management of external suppliers.
- Ensure all visits and events are compatible with cultural diversity, meet legal requirements and are as environmentally friendly as possible.
- Work as part of a team that manages complex programmes and conferences to ensure quality standards are maintained, whilst always ensuring budgets and managed effectively and outputs are secured.
- Manage, plan, design events focusing on: purpose, desired outcomes, location, service requirements: external procurement of resources and post event evaluation.
- Work with event commissioners to develop an event schedule that covers a) what: event objectives, scope, deliverables and success criteria; b) who: description of the key components of the event and outlines roles and responsibilities; c) cost: defines the event costs, budget, its breakdown and controls; d) setting up the framework for risk management; e) agreement: the document is formally signed off by event commissioner and event manager.
- Work with colleagues to manage V&E Toolkit/Share Point: The management and maintenance of the visits and events Toolkit which provides information for staff on how to put an event together.
- Co-ordinate events on the day, manage individual roles and responsibilities, attendance, manage registration desks, manage itinerary, on-going monitoring and controls during event delivery, implementation of risk management strategy, identify risk owner (child protection), management of the event risk log.
- The post requires occasionally working outside of normal office hours including weekends
- Where visits involve young people ensure that the Child Protection guidelines are adhered to.
Currently, it is easily demonstrable that both post holders consistently, and have for a number of years, performed all of the above tasks, in addition to the role of the PB6 job role:
- Visit management - PDO acts as 'programme owner' - responsible for production of programme including main UK liaison point between internal client, internal services and external partners.
- Event support for London events - for example the Education Partnership country meetings where PDO main roles have been to: manage registration, room bookings and layout, badge production, delegate pack assembling and on the day support.
- Event support for overseas events - for example Global Change makers AYS - applications, child protection provisions, liaison point for participants on site support.
- Finance support- for example the events managed by level 3 or for Event Facilitators and PDO responsible for raising PO's as the substantive, permanent staff.
- Team development and housekeeping
- contributing to the development of team resources - for example, contributions to the toolkit.
- updating the events calendar with allocated events/visits
- updating the staff calendar with your leave/TOIL/time out of the office
- proactively contribute to team planning, monitoring and review activities
- proactively seek to understand the interdependencies and connections between the functions and teams within P&P
- actively contribute to cross-functional working parties and initiatives
