Description

WTG Procurement Coordinator
Our client, a leading renewable energies operator focusing on the Offshore Wind market, is currently looking to recruit an experienced Procurement Co-ordinator for their HQ in central London. This will be supporting the WTG (Wind Turbine Generator) package of works.
Supporting the Procurement Manager the Procurement Co-ordinator is responsible for executing the procurement activities for major contract (including provision of contract templates and establishment of contract documents) and subsequently during contract execution phase performing contract administration activities such as the process of exchanging information in the contractual formats, following the contract mechanisms (letters, variations, invoices, reports etc.) and within the deadlines.

Tasks/Deliverables:

Pre-Award: PQ and Tendering Phase
  • Prepare detailed Procurement Strategy for the WTG package
  • Perform prequalification of potential tenderers for the WTG package contract
  • Prepare and establish invitation to tender documents (draft contract) for the WTG package in co-operation with functional managers
  • Communicate with the supplier market and tenderers
  • Lead the tender evaluation, negotiations and contract award process with the tenderers
  • Obtain procurement process approvals and signatures as applicable (ref. Procurement Governance).

Post Award: Execution Phase

  • Manage the day to day administration of individual project contracts and ensure the correct information is exchanged in the correct formats and in a timely manner
  • Verify and update the commercial/administrative risks and opportunities in the contract
  • Keep the Procurement Manager informed as to the status of the contract and assist in developing and implementing the contract execution strategy and tactics
  • Co-ordinate handling of guarantees/securities and insurance documents
  • Prepare and maintain the log of deliverables/obligations from both parties
  • Co-ordinate all official correspondence including drafting of commercially/contractually significant letters, review of incoming letters and ensure that the actions are taken/letters are answered
  • Prepare and maintain logs for all correspondence with contractor
  • Manage handling of claims and variation orders for the contract, including insurance claims
  • Coordinate the review of monthly reports from Contractor by the relevant project functions and review/comment on the contractual/commercial content (or lack of) of the report
  • Ensure regular contractor meetings are held and documented
  • Prepare internal monthly report for the contract
  • Obtain contract execution approvals and signatures as applicable (ref. Procurement Governance)
  • Ensure correct contract close out and assist the project team in take over activities with contractor
  • Prepare the contract close out report, including supplier experience

Experience, qualifications and abilities

  • Mixed background (MA or MBA) within business and with a profound understanding of technology
  • Extended knowledge of legal and contractual matters
  • Ability to establish a good working relationship to contractors
  • Capacity to integrate well into the project organization and work cross-functional as team member
  • Knowledge of project planning and management tools and ICT
  • Language: fluent in English

Experience

  • Experience from previous projects - preferably Offshore Wind, or equivalent (some years of experience)
