Description:

  • The Project Coordinator in the National Facilities Services Business Information Office (NFS BIO) is an administrative support role for the IT capital construction Project Managers in the Valley's Program. This Service Area spans from Fresno to Vallejo.

  • The Project Coordinator develops and publishes project reports, maintains project artifacts, monitors project budgets and assists with special reporting requirements for IT oversight and other mandates.

  • Project Coordinator must communicate effectively with team members from IT and National Facilities Services (NFS). This position will be located in Sacramento CA.


Essential Functions

  • Central Point-of-Contact on Reports and Project Budgets for CDTS Team, NFS Financial Analyst, Accounts Payable, OneLink Team and Various Vendors

  • Resource Program Management (RPM) System Project Entry, establish NIKU, project schedule updates and closeout

  • Internal Document Routing (IDR) System Work Authorization/Amendment/Closeout Entry

  • OneLink - prepare/submit purchase orders and monitor product receipt

  • eBuilder - Resolve assigned action items, route documents

  • One-on-One Meetings with Project Managers - review monthly project financials

  • Assist, when necessary, support for special projects

  • Assist with IT Project Management tracking and reporting requirements

Top 3-5 Daily Responsibilities:

  • Entry and tracking of funding approvals

  • Generation of new projects in tracking system

  • Generation of periodic reports


Requirements:

  • AA/AS Degree or Bachelors degree preferred, High School/GED required with 2 years additional work experience in project coordination (in lieu of degree).

  • 3+ years of Project Coordinator experience (with AA/AS or BA/BS degree)

  • Proficiency with MS Excel, Access, Word, Powerpoint, Visio and Project

  • Good organization and detail orientation skills; and the ability to effectively communicate with all levels of the organization

  • You must own a vehicle and be able to travel to work locations on a regular basis - Travel required

  • Capital Construction and/or Health care experience

  • PMP Certification is highly desired

  • You will be required to learn internal IT's program and process methodology, execute it within the established organization framework and mentor other project managers and team members.

  • You must also be a self-starter, who is a dynamic and energetic team leader, to identify needed resources, define roles and responsibilities and ensure assignment of key project participants.
