Description

Background:
Possible to work part-week from home! Brussels based international bank, seeking a Programme Office Manager (PMO) to join the bank's Legal/Regulatory Compliance team (Project Management Office, specifically) to assist in the management, planning, implementation and tracking of the EU CSD Regulation in ESES (Centralised Securities Depository regulation in Euroclear Settlement of Euronext-zone Securities). Requires managing programme plans, updates, progress tracking information, logs and reports.

Normally you would work a standard 40-hour week but on occasion may be required to work overtime (at a higher rate) to meet programme milestones. The role is suitable for flexible working (with an agreed proportion of the working week at home).

Essential Tasks:
The PMO ensures that information concerning deliverables, risks, issues etc. passes to and from sponsors, programme managers and other stakeholders.

Drafting, consolidating and managing programme plans, updates, progress tracking information, logs and reports;
Produce meeting papers, agendas;
Handle day-to-day administration such as team communications, procedural controls (eg documentation/issues control);
Maintain the programme RAIDA (Risk, Assumption, Issue, Dependency & Action) logs;
Proactively contact project managers to obtain updated information on plans, deadlines, deliverables, RAIDA etc;
Maintain the programme plan;
Maintain any programme library such as induction materials or methodology which is authored by others;
Operate the change control process to ensure appropriate governance.
Ensure that documents produced by others use the appropriate template or standard design;

The PMO will own and maintain libraries of:
Team structure and job descriptions;
Programme & project management policies & procedures, standards, framework;
Programme & project management tools & practices;
Templates.

Administrative Tasks:

Assist with filing, organising meetings, tracking whereabouts of participants, obtaining facilities, services and materials as required.
Perform, or assist with, creation, development and maintenance of the programme's website and other technical tools.
Assist project managers in maintaining their plans and RAIDA logs
Act as secretary to meetings and produce minutes;
Assist the finance function in the planning and monitoring of finances;
Liaise with other programmes to obtain and supply relevant information;

Skills/Experience:

Knowledge of programme management (eg. PRINCE2).

Experience of change programmes in the financial sector.

Spreadsheets, programme planning, presentations and associated graphics.

At least some knowledge of banking regulations.

Language: French plus either some English or some Dutch.
