Real Staffing are URGENTLY looking for a Marketing and Sales Administrator on behalf of a pharmaceutical company.

This is an urgent requirement and the client can only consider candidates that can start immidetialy.

Contract Details:

Start Date: ASAP

Interviews: Telephone interviews w/e 06/09/15 - one stage

Duration: 3 month contract - transfer to permanent

Location: Slough

Rate: £19 per hour

Primary Purposes of Position:

To provide a high quality, comprehensive, accurate and timely secretarial and administrative service to the Product Managers and Regional Business Managers and assistance to all Account Managers, to support the achievement of product and business objectives.

Main Duties:

To provide comprehensive, proactive, secretarial, administrative and software/multimedia support to Product Managers and Regional Business Managers by:

- Preparing departmental correspondence (letters, memos, faxes, e-mail) for despatch, maintaining day files and central files to ensure ease of retrieval. - Preparing minutes and other documents for meetings and ensuring prompt and accurate circulation. - Assisting in the production of monthly and/or quarterly reports.

- Produce weekly or monthly movement schedules. - Maintaining the central file of ABPI approved promotional and educational materials. - Monitoring the literature ordering system, including stocks of materials for the sales force and customers. - Ordering stocks of new and existing marketing materials as required, agreeing reordering levels with marketing colleagues and obtaining quotes as necessary.

- To liaise with external agencies & suppliers as required to ensure timely and efficient delivery of products and services.

- Advising TMs regarding availability of promotional and educational materials.

- Managing incoming calls and correspondence and handling appropriately.

- Manage/Create Legal contracts on behalf of PM's

- Monitoring e-mail and post for urgency in the absence of managers. - Organising meetings (e.g. venues, agendas, refreshments etc.) hotels and travel arrangements. - Providing internal administration such as processing expense claims, raising purchase orders.

To provide proactive secretarial assistance to RBMs and AMs by:

- Managing incoming calls directed to field based staff by passing details to customers or by taking messages and forwarding to field based staff.

- Posting internal documents as required.

- Providing routine typing, mail shots for specific projects, all aspects of travel arrangements, document administration, co-ordinating presentation materials, organising, preparing for and attending Business Unit meetings as required.

- Maintaining and recording holidays/sickness for Business Unit staff on a monthly basis.

To support the SCCO by:

- Working as part of a team to answer incoming calls in a professional and appropriate manner.

To communicate regularly with other members of UK Operations to ensure rapid two-way flow of information and contribute to effective team working, encouraging sharing of knowledge, skills, ideas and best practice as required.

To manage the administration and processes for tendering and contracting of products in the Business Units.

To assist the Product Managers in progressing the development and approval of materials within the electronic approvals system.

To perform any other activities as may reasonably be required from time to time.

To complete all of the above activities within the framework and in compliance with SOPs and company policies, health and safety requirements, the Medicines Act and industry Codes of Practice.

Specifics of Position:

Good secretarial experience within a team environment

Excellent verbal, written and interpersonal communication skills

Confident to liaise with individuals extensively over the telephone

Good Word, Powerpoint and Excel skills

Self-motivated, enthusiastic, reliable and flexible approach

Ability to work as part of a team and coordinate internal processes with external customers

Good eye for detail and accuracy
