Administrator/Assistant - 2 month contract - Ealing

Job Purpose

The Resources Assistant will be responsible for the creation and upkeep of rotas for Access Services staff and will manage and be responsible for all associated administrative tasks. They will liaise with Access Services teams and Human Resources in order to comply with Health & Safety/working time rules/directives. They will work closely with schedulers and managers within Operations in the outsourcing of work to third party suppliers.

Key Duties

  • Create and maintain rotas for Access Services production and support teams, responding to queries as necessary
  • Track and process annual leave; manage leave balances and entitlements across all teams
  • Process administrative requests for Access Services teams including swaps and reservations
  • Record and report on sickness absence
  • Work with operations schedulers/managers in the allocation of services to third party suppliers
  • Manage the workflow for freelancers and other external suppliers, providing materials and media as necessary

Key Skills & Abilities

  • Demonstrable administrative experience including accurate record keeping
  • Ability to work alone and as an integral part of a team
  • Ability to create and maintain good working relationships
  • Excellent time management, organisational skills, accuracy and meticulous attention to detail
  • Excellent written and verbal communication skills
  • Ability to use own initiative, work flexibly and under pressure to deadlines
  • Basic knowledge of Excel; experience of working with new technology
  • Basic understanding of output across all clients
