Exchange/Office 365 Admin
Birmingham, AL
Position Type: (6) Month Contract

Under the guidance of the Data Center Manager, the individual is responsible for the daily progress of the migration to Office 365. These activities include maintaining end user email accounts with regards to permissions and access rights, extracting email archives, adding and maintaining email mailboxes, monitoring migrations, and working to resolve issues during the migrations. The position provides level one support to the Help Desk, Systems Administration, and user departments with regards to interaction between the Exchange email environment and Office 365. This position also provides a basic level of training to the users, where needed.

DUTIES AND RESPONSIBILITIES

Systems Administration - Adds, removes, and updates new or existing end-user accounts and administers permissions and access rights. Carefully follows policy for mailbox migrations to ensure consistent and accurate provisioning of user accounts; makes adjustments where necessary. Provides personal and telephone support to issues related to network access.

Systems Management - Monitors the availability of hardware and software resources and reports issues and problems to other team members. Notifies team members in a timely manner of system interruptions or other significant problems; takes corrective action as directed.

Data Storage and Usage Monitoring - Regularly monitors disk utilization and evaluates usage to ensure that adequate space is available and corporate policies are adhered to; reports all exceptions to management. Participates in trending and forecasting of storage and ensures that customer requirements can be met.

Messaging Systems - Administers user accounts within Exchange e-mail systems and Office 365. Maintains user email accounts, private and public folders, distribution groups, calendaring services, global address books, and shared mail applications. Where necessary, provides end-user training and support through verbal and/or written communications. Administers user accounts within Mimecast email perimeter protection service. Performs regular reviews of Exchange user objects and resources and ensures consistency and corporate compliancy; reports all exceptions to management. Documents all non-standard user accounts.

Systems Compliancy - Works with compliancy software, such as PPM, SysAid, and Tivoli. Maintains incident management system ticket queue, resolves routine incidents, and escalates tickets to other team members as appropriate. Reviews change management forms, compliancy reports, and other forms of documentation for audit purposes. Performs inventory of user accounts and informs management of discrepancies. Performs regular reviews of Active Directory user objects and ensures consistency and corporate compliancy; reports all exceptions to management. Documents all non-standard user accounts.

Systems Operations - Reviews execution of daily, weekly, monthly, and periodic backups on all Exchange Servers. Coordinates restores of user files from backups, as needed. Notifies team members and management of needs, system interruptions, or other problems.

Related Duties - Documents routine procedures and presents to Client Support and other user groups. As required, assists in the education of users as it relates to standard software products that run in the Windows environment. Performs special projects of a non-routine nature under the direction of the Data Center Manager. Serves as team member as required.

PERFORMANCE AND QUALIFICATION REQUIREMENTS

Education and Background - Requires a two-year college degree in Computer Science, Business Administration, Accounting, Statistics, or Math, or equivalent direct work-related experience. Requires working knowledge of personal computers, Windows desktop operating systems, Microsoft Office, and other standard desktop applications. Requires experience with Windows Server operating systems and backup utilities.

Job Qualifications - Requires 2 to 4 years of user administration experience in a mid-size enterprise using Windows Servers, including administration of Active Directory and/or LDAP directory services. Must provide support in a mission critical, 24x7 system environment but will not be on-call. Must possess the ability to work independently and as a team member, managing multiple assignments in a well-organized manner is vital.

Related Experience - Requires general knowledge of IT support, networking, and end user computing policies and procedures. Requires general understanding of communications between different computer platforms. Must have working knowledge of Windows Server, Active Directory/LDAP, and Exchange. Must be familiar with most basic system administration tools and processes. Must have ability to follow procedures and standards to govern user administration and be capable of writing basic documentation. Requires thorough experience with PC's and with user access problem resolution.

Hardware Knowledge - This position does not require hands on experience with server hardware.

Interpersonal Skills - Must employ good communication skills and flexibility to work with users at all levels. Must have strong customer service skills. This position requires significant interface with both technical and non-technical staff, so excellent verbal and written communication skills are essential. Requires excellent time management skills, strong documentation skills, and general technical skills.

Judgment and Decision - Requires initiative and independent decision making abilities to work independently and complete projects within the required timeframe. Requires analytical skills needed to evaluate issues and manage the infrastructure and to respond to problems affecting the Windows server environment. Decisions normally have a noticeable effect department-wide and company-wide. Requires sound judgment and decision-making skills to support the constantly changing Server environment. Keeps team and supervisor informed of activities and issues.

Accuracy - Requires accuracy when defining and modifying user accounts and when generating reports. User access and data integrity is dependent on accuracy and attention-to-detail in the daily execution of job tasks. Issues related to user access must be kept to a minimum. Problems must be diagnosed and resolved accurately and completely.

Custodial Responsibility - Requires work with sensitive and competitive data and may have access to critical information; has knowledge of proposed applications that affect business procedures and operations. As such, a high level of confidentiality is absolutely necessary. Administers network/server user accounts and passwords.

Leadership - Works with IT staff and user personnel on technical issues pertaining to the Windows environment. Provides technical assistance to team members and other staff members. Provides feedback to team members and project teams.

Contacts - May have frequent contact with all levels of personnel throughout the Company. Has routine contact with vendors, consultants, and other technical support personnel. Periodically consults with project teams.

Physical and Environmental - Requires normal physical stamina. Works primarily in corporate office. Duties involve timely response to a variety of requests, frequent interruptions, and rapidly changing conditions. May require occasional odd and extended work hours and call in situations for problem solving and to meet deadlines.
