Executive AssistantOur client, one of the leading Consumer Health companies in the world is currently seeking for an Executive Assistant to ensure the Head Global is effectively supported in his daily administrative work as well as in the areas of planning, coordination and organization of trips, meetings and events.
Responsibilities
- Office administration such as: day-to-day activities, organisation of business trips and processing of travel expense claims, organisation & coordination of internal and external meetings (incl. minute taking), videoconferences, teleconferences, maintain filing systems
- Playing a leading role in communications, Org. chart updates, Intranet site content
- Coordination & preparation of presentations
- Ensuring smooth communication/information flow within the SBU teams
- Handling of confidential information and interface with Senior Management
- Ordering supplies, equipment, space/office plans
- Management of specific projects
- Coordination/Coaching of the other team assistants
- Handling departmental invoices and purchases orders
- Coordination and preparation of various monthly/quarterly reports
- Identifying and implementing any necessary administrative process improvements
Requirements
- Commercial Degree (Kant. Handelsschule), Eidg. Fähigkeitsausweis (KV)
- 5 yrs experience in the pharmaceutical industry
- Strong communicational & organisational skills
- Fluent English (written and spoken)
- Displays adequate sense of urgency
- Strong inter-personal skills both with peers and superiors
- Good PC skills
