* Executive Assistant Role - Investment Banking, Global investment Bank, Canary Wharf, London, 6 month contract*

A tier 1 investment bank requires a competent Executive Assistant Role - to join their team in London on an initial 6 month contract.

Overview of business area or project:

This is a unique role, providing secretarial and administrative and business support to the Managing Directors and wider team in London. The role sits within a team of administrators which provides a hybrid service of both Executive Assistant responsibilities and Office Management.

Executive Assistant Role - Although the role is based in London, it supports a number of MD Executives and a large team with global responsibilities, and hence requires close liaison with both APAC and New York with a same-day turnaround to ensure that cross-regional meetings can be arranged promptly; this may require follow-up outside of standard London office hours. The executives supported typically liaise with a wide spectrum of the firm's senior management and business heads and hence a highly proactive and professional approach are essential to the role, as well as ability to deal with complex and short deadline driven requirements to complete tasks.

Office Management Role - role is required to work independently and autonomously as part of a team of administrators. It requires a high level of attention to detail, familiarity with CS systems and processes and ability to plan in order to execute on the prompt and efficient set up of new joiners from analyst to executive level, coordinating desk relocations in order to optimise team colocation, support for Town Hall and other onsite events involving large numbers of staff and/or materials. Additionally a proactive and open approach is required in order to contribute to other departmental initiatives such as administration of charity or CS training initiatives.

Experience

Technical/Business Skills & Knowledge:

  • Excellent Microsoft Office skills, including: Word, PowerPoint, Excel and Outlook
  • Accurate and quick typing skills with keen ability to proof-read work

Other Requirements:

  • Independent, self-starter with positive attitude: "Can do" approach
  • Flexibility with regards to tasks and hours worked in order to meet requirements of the role
  • Meticulous accuracy and high attention to detail in every aspect of work; a sense of personal responsibility and pride in one's work
  • Must have a robust nature, determined to succeed and looking for success, involvement and hard work
  • High level of confidentiality with the ability to develop and maintain strong relationships with staff at all levels including junior staff, executives and Executive assistants across the firm
  • Confidence in dealing with senior management
  • Logical thinker, who demonstrates good judgment, troubleshoots problems and identifies potential solutions
  • Ability to maintain calm, professional approach throughout busy, high-volume periods
  • Good communicator; written and spoken
