Systems administration - enterprise work management tools ( smart sheet, workfront asana) NW London

*URGENT ROLE* with flexible working

A fantastic role has arisen for an International life science client to evolve the International Markets expansion and focus on Workfront configurations and testing. Experience in workfront or similar software highly desirable.

Key Responsibilities:

  • Lead weekly Core Team Meetings, set agenda, drive the accountability of Core Team Members.
  • Lead and liaise weekly Workfront Services Team and/or Remote Workfront Consultants on progress on projects as well as discuss and kick off new enhancements needed of them.

Education & Experience Requirements:

  • Hands on experience working as a Workfront power user or system admin, preferred.
  • Project management experience managing technical projects.
  • Entrepreneurial mindset needed
  • Excellent analytical, critical thinking and problem solving skills
  • Innovative thinker who is positive, proactive, and readily embraces change
  • Detail-oriented and organized with the ability to think in bigger picture and develop creative solutions for complex problems
  • Ability to multi-task and prioritize competing tasks in a fast-paced, dynamic environment
  • Strong oral and written communication and relationship skills.
  • Experience and proven ability to develop training material/program and conduct trainings.
  • Experienced in process design and optimization.
  • Experience in working in Matrix team and leading cross-functional initiatives/projects.
  • Basic relational database, networking, network security, and communications knowledge
  • Background in a regulated corporate structure or industry preferred. Agency experience a plus.
  • Ability to work flexible hours to support worldwide training and onboarding (5%)
  • Bachelor's Degree (or equivalent experience) and proven Marketing and Process Operations experience required

System administration/support:

  • Build and work through configuration needs so all aspects of International markets can be tracked accordingly in Workfront
  • Manage the internal Workfront request queue and resolve Workfront system issues raised from users while assigning small tasks to trained consultants or other Sys Admins.
  • Perform system configuration and administrative duties, leverage consultants, eg
  • User setup - user creation/de-activation, job role, team, group, company, layout template, access management as identified in access requirements.
  • Create/modify custom forms, reports and other Workfront artifacts that align with the defined requirements across enterprise in accordance with our roadmap.
  • Provide ongoing end user support: host Q&A sessions and address ad-hoc issues and how-to questions from end users.
  • Bubble up the most FAQs and offer refresh trainings to all affected. Develop training plan and schedule, ideally build sign-up and curriculum via Workfront.
  • Create/maintain a Workfront knowledge base, capture/share learnings, tips, and best practices to the user communities via live/virtual meetings or Newsletters. Attend Workfront Boot Camp(s), annual user Conference, connect with other companies achieving desired functions.
  • Maintain and keep user training up to date, eg on-demand video, FAQs, and cheat sheet, etc.
