Description

DUTIES AND RESPONSIBILITIES
* To manage administrative requirements and assist the Organisational Performance Lead to maintain workload planning, ensuring that priorities, ownership, and details
of progress are kept up to date.
* To coordinate diary appointments and arrange meetings, communicating with a wide range of colleagues and stakeholders.
* To provide support to the Organisational Performance function in preparing progress reports and taking minutes.
* To be responsible for the maintenance of action registers, ensuring that priorities, ownership, and details of progress are kept up to date.
* To support the Organisational Performance Lead with enabling and implementing the requirements of the department standards and processes. For example:
o To assist in the development of standard operating procedures and work instructions.
o Ensure that all new processes are documented and stored on the Integrated Management System and an appropriate monitoring process is set up to ensure compliance.
o Ensure any new procedures and processes are published on the departmental Intranet and updated as necessary.
* Regularly use a range of IT applications including Microsoft Teams, SharePoint, Office 365 to create reports, progress reports and maintain information systems.

QUALIFICATIONS
* A-level educational attainment or equivalent experience.

SKILLS AND EXPERIENCE
* Excellent communication skills and interpersonal skills when dealing with a wide range of stakeholders.
* Ability to develop and maintain effective working relationships across multifunctional teams and organisational boundaries.
* Excellent organisational skills.
* Significant previous experience of coordinating/support in a similar role.
* Working with senior stakeholders.
* Able to manage personal workload proactively and independently, multi-task in a complex work setting.
* Competent in the use of desktop applications and team collaboration applications used for the support service including:
o Office 365 and standard Microsoft Office applications eg Excel, Word, PowerPoint, Outlook, Microsoft Teams
o SharePoint

WORKING ARRANGEMENT
Work will be based in Swansea.
