The role of the IT Commercial Administrator is to support the IT Commercial & IT Infrastructure teams in their day to day operation.
This includes:
Management of the Purchase Request process;
Input of purchase orders;
Receipting & invoice queries;
Renewal of POs against Agreements/Quotes;
Diary & Event Management;
Environment,
Health & Safety tasks.
Principal accountabilities
- Manage the IT purchasing process end to end, including raising of Purchase Orders, Receipting, Invoice queries, reporting and supporting Project Managers with the Invoice on Hold Process.
- Ensure support renewals are identified and covering purchase orders are raised & monitored.
- Monitor & analyse receipting against Purchase order values & renew as necessary
- Manage the schedule of Supplier Service Reviews, Supplier & Customer Forums and ensure meetings are arranged as per schedule
- Undertake Environment, Health & Safety tasks as required
- Liaise with external and internal teams and stakeholders on account and commercial management matters.
Secondary responsibilities
- Provide Administrative support to the IT Infrastructure team
- Create monthly Security reports (Malware, AV and Incidents), and Risk reports
- Create weekly, Monthly and adhoc Infrastructure activity reports from Service Now on Incident tickets, Request Tasks and Infrastructure Changes across all Infrastructure queues (Wintel, UNIX, CCTV, Datacenters)
- Manage and update the infrastructure activity dashboard and monthly highlights
- Update and manage the 3rd party engagement process. This includes arranging access and security passes for 3rd party Hardware break/fix engineers, kit movement and landside/airside access.
- Raise Purchase orders, order equipment from suppliers and manage delivery to site and payment.
- Organise internal and external team training, arranging training bookings for team members, payment to training providers
- Update and manage the team on-call rotas and team calendars
Qualifications and experience
- Knowledge and experience of IT commercial, contract and purchasing management - preferable
- Experience with purchase management software and/or automated procurement systems.
- Ability to deal tactfully with vendors, suppliers and internal teams who provide a broad spectrum of products and services
- Experience at working both independently and in a team-oriented, collaborative environment is essential.
- Persuasive, encouraging, and diplomatic. Ability to elicit cooperation from a wide variety of sources.
- Strong written and oral communication as well as interpersonal skills.
- Ability to effectively prioritise and execute tasks in a high-pressure environment is crucial.
