Description

Position Title: Manager of Events and Facilities
Supervisor: VP of Finance
Position Duration: Full-Time, 12 months

FUNCTION:

The Manager of Events and Facilities will serve as the primary point of contact for all internal and external events and facility usage (with the exception of development and athletic events and academic scheduling). Primary events include, but are not limited to, conference services, summer camps, and performing arts events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Scheduling

  • Maintain the college events calendar, coordinating it with the academic, student life, and athletic calendars to avoid conflicts in scheduling. Work closely with the Communications Department in sharing information with the College community.
  • Create campus event guidelines and collaborate with appropriate offices in establishing and enforcing policies that relate to meetings and events on campus.
  • Work with internal and external constituents. Provide event consultation, working with clients to determine the best spaces and set-ups for events and activities.
  • Maintain a complete listing of available facilities and related rental fees.
  • Provide directions for event support, security, parking, signage and catering.
  • Ensure that all clients and their guests have a quality experience while maximizing facility usage and avoiding calendar conflicts.
  • Develop and maintain a roster of suggested sub-contractors (ie musicians, lighting experts, florists etc.)
  • Manage the college calendar and room scheduler (eliminate for events) to prevent schedule conflicts during simultaneous events and peak seasons.
  • Oversee, document, and approve college conference room bookings with the summer camp and conference coordinator.
  • Oversee, document, and approve non-athletic college van usage from booking to return.
  • Research, implement, and assess information systems in regards to facilities, calendars, and transportation.
  • Other duties and tasks as assigned

Facilities

  • Coordinate facilities needs from setup to tear-down with the Office of Physical Plant.
  • Coordinate AV needs from delivery, setup, and pick-up with Office Services and the AV Specialist.
  • Manage all spaces with emphasis on Regina Auditorium, The Great Room, and the PAC.
  • Oversee and cultivate client relations and institutional policy as it relates to facility rentals.
  • Other duties and tasks as assigned

DEMONSTRATED KNOWLEDGE, SKILLS, AND ABILITIES INCLUDE:

  • Working knowledge of computer applications and systems, audio-visual systems, theatrical lighting, and sound systems.
  • Interpersonal, oral, and written skills relating to communications and supervision.
  • Conflict resolution techniques and customer service skills.
  • Ability to manage multiple schedules, duties, and a high degree of accuracy over extended periods of time in a high traffic environment.
  • Strong organizational skills and attention to detail.
  • Personnel management skills and an ability to work independently.
  • Ability to effectively work with all College constituents including students, faculty, staff.
  • Experience in working with diverse student populations.
  • Problem-solving skills.

QUALIFICATIONS:

Bachelor's degree. Training and/or experiences in information systems, theatrical systems, and basic maintenance preferred.

PHYSICAL ENVIRONMENT:

Regular computer keyboard use. Medium lifting (50 lbs.), use of ladders, access to catwalks and crawl spaces are required. Most duties are conducted within a professional office setting with the need to access campus buildings with stairs. Some travel is required with this position.
