Job Description

  • Assist the Business Support Manager (BSM) in the provision of Student, Financial and other Key Performance Indicator information, and to assist in the analysis and production of associated reports to internal and external stakeholders.
  • Prepare WLP reports for use by management teams, providing analysis of key points and budgetary impacts.
  • Develop and maintain a detailed knowledge of the Workload Planning policies and procedures in order to provide advice and guidance to faculty management and all other staff.
  • Review the individual TAS data to ensure that the correct classifications have been used, proactively comparing data across the Faculty to ensure that consistency is maintained.
  • Liaise with the central finance team on TAS and Workload Planning related queries, ensuring resolution of all queries and keeping the BSM advised.
  • Advise the BSM if actual workload hours are over those budgeted, in order that corrective action can be taken.
  • Working alongside the departmental Executive Office Administrators, maintain the Faculty Associate Lecturer Contracts & Schedules database; processing AL claims against approved schedules ensuring claims are passed for payment in accordance with Payroll/HR timetables.
  • Provide reports and analysis of AL contracts and claims, ensuring that up to date forecast information is provided for use by faculty management accountant and budget holder.
  • Assist the Finance Officer in provision of payroll related information.
  • Assist the BSM with contract monitoring, in particular the preparation of statistics and reports
  • Reconciliation of individual E5 accounts as directed.
  • Processing purchase orders and invoices, travel claims, credit card accounts, raise payment requests and raising sales invoices as required to support other areas of the finance team.
  • Other duties as required to provide an efficient service to the faculty and ensuring that there is backup of departmental services.

Essential

  • Strong Maths and English written and spoken
  • Experience in financial administration
  • Ability to use Excel, Access and Word
  • Ability to use bespoke systems (eg Infoview/Business Objects, E5, ) and to develop reports
  • Effective interpersonal skills with effective written and verbal communication skills
  • Time Management and organisational skills, including ability to meet deadlines
  • Ability to draft financial and other reports suitable for management review
  • Accuracy and attention to detail
  • Ability to produce documents including layout
  • Ability to communicate complex financial information clearly
  • An ability to critically analyse, challenge and interpret complex data

Desirable

  • AAT or equivalent qualification
  • Experience of using the Internet
  • Experience of a financial software package
  • Experience of monitoring budgets
