Proteus Europe is searching for a Dutch speaking Project Manager to join a prestigious client located in Brussels, Belgium. This is a contract role with a duration of 4 Months.

Our Client :-
The Ministry of the Flemish Community (MVG) was from January 1, 1983 to January 1, 2006 the official organization of the Government of Flanders, where the Flemish Government policy is implemented. The ministry was divided into departments were headed by a Secretary-General. The departments knew another subdivision in administrations. The administrations were led by a Director General.

Your New role :-

The Facility Department is responsible for the operation of large office buildings. Each building has a counter with reception staff.

Analysis has shown that the registration process of visitors is inefficient, with long waiting times as a consequence for visitors and employees. In addition, many other tasks are carried out manually. The Facility Department also wants to evaluate to a hospitality - self service concept, where the visitor can arrange his / her own services (WiFi, access registration, printing, etc.) and receive support from the reception staff, the same for employees who deliver at the reception desk today. From a customer perspective, the registration process is currently little transparent and the process slows down quick access to our buildings to start a meeting in time, for example. This issue involves different teams and departments of the agency.

Project objective:

The aim of this project is to bring together the various (ongoing) initiatives and developments and to work out a single overarching approach with a view to an autonomous and intuitive reception, of which the customer - the employee and the reception staff, will redeem the potential added value.

The objective has been achieved in achieving the following results:

- Reducing the queues at the reception
- Reducing the workload at the reception because tasks are lost or are done autonomously by the client employees
- Test persons are registered autonomously within 5 minutes, have access to Wi-Fi, can print and have access to the private office space under the supervision of an internal employee
- The technological solution fits within the guidelines of the facility IT plan, as well as the guidelines regarding networks, security and privacy.
