Personal Assistant/Project Assistant - London - £30000 - £35000 Per Year - 6 months

To provide a full and confidential Personal Assistant service to two Engineering Leads (delivery director level), including managing their office and business programme, ensuring that their time and contribution to the Bank is maximised

Responsibilities, Accountabilities and Deliverables:

Diary management. Co-ordinating and planning appointments, movements and events to ensure optimum effectiveness of the EL's time.

Plan and prioritise a demanding schedule, producing comprehensive supporting information for all appointments.

Arrange travel requirements within the UK and overseas.

Prioritise all of the EL's workflows by taking action during absences, using own initiative and judgement from knowledge of key issues to ensure appropriate action is taken; work closely with existing Business Support Manager to ensure appropriate delegation of queries coming through in EL's absence.

Gather and provide information on a wide range of topics, including input to relevant committees

Receive all incoming telephone calls, ascertain their nature and importance and deal with a wide variety of internal and external enquiries. Refer calls and messages to the EL or BSM where essential.

Undertake a variety of special projects, involving internal and/or external research and liaison, compile reports and make recommendations.

Assist with event planning

Prepare expense reports and claims for the EL

Responsible for the provision of a full secretarial service and general office duties eg filing, faxes, and photocopies

HR online changes, absence and annual leave tracking for EL's Direct Reports

Provide support to EL's leadership teams as required

Essential Skills, Qualifications and Experience required to do the role:

Strong organisational skills including demonstrable ability to organise, plan and schedule activities

Highly detail-oriented

Strong calendar (Outlook) management/scheduling skills

Adaptability

Ability to multi-task and prioritise workload

Excellent verbal and written communication skills

Proficient ability to compose confidential correspondence

Self-starter and strong initiative. Ability to work with minimal supervision; efficiently and accurately

Achievement Motivation

Independent Thinking

Highly Proficient in Microsoft Word, Powerpoint, as well as the Intranet and Internet

Knowledge of general office procedures

Must be able to work in a fast paced environments with continuously shifting priorities

Strong organisational and environmental awareness
