Description

Executive Admin Assistant vacancy for a globally operating Basel based company in the pharmaceutical sector.
Your experience/skills:
  • Relevant experience within an international, multi-cultural, proactive environment as an Administrative Expert or in a related position requiring considerable organisational skills
  • Excellent time management, prioritisation, planning, multi-tasking and influencing skills;
  • Capability of working independently and solution oriented as well as of taking a hands-on approach to issues until resolution
  • Strong IT and technical skills including MS Teams, Excel, PowerPoint, Sharepoint, videoconferencing hardware with an affinity for new software and hardware as well as a natural interest in leading introductions
  • Outstanding communication skills, ability to collaborate with cross functional teams and lead key projects
  • Languages: English, fluent in written and spoken


Your tasks:
  • Organising internal and external local and global meetings, workshops and events such as departmental meetings
  • Preparing candidate interviews and managing the interview day in close collaboration with candidates, hiring managers and interviewers
  • Encouraging onboarding of new hires including arranging welcome packages and ordering office and IT equipment while also managing the offboarding of former employees
  • Supporting teams with a range of administrative tasks such as purchase order requests, shipping and mailing of documents, office and IT supplies
  • Leading and supporting local or global organisational activities such as compliance checks, data tracking, Sharepoint sites oversight and maintenance
  • Acting as local point of contact for administrative and organisational questions including travel booking, expense management, invoices, available technologies and organisation charts
