Vendor Management Analyst

This Vendor Management Analyst position reports to the PBS Vendor Manager, who is responsible for managing PBS vendor agreements. The Senior Vendor Management Analyst is responsible for assisting in managing the vendors associated with the PBS contracts throughout their lifecycle as well as performing other operational duties to support vendor manager.

Essential Functions:
Program Responsibilities:
• Supports the PBS vendor management program efforts by developing and participating in the following:
• Assist in creating a control-conscious culture by creating a consistent, integrated vendor management program and framework throughout the company.
• Work within PBS and with other internal stakeholders to define and maintain supplier classification and category strategy
• Monitor contract payment mechanisms. Provide input and be responsible for the review, payment, and reconciliation of all vendor invoices for PBS contracted services.
• Assist in the design and be responsible for Vendor Performance Reporting metrics and prepare monthly reports of vendor performance, cash collected, inventory placement/resolution, service levels, etc.
• Prepare governance reports and keep governance meeting minutes and agendas.
• Assist reporting analyst as needed in monitoring and gathering financial viability and management information on suppliers. Review quarterly financials, risk assessments, technology road maps, management turnover, and deal flow.
• Assist in preparing communications, processes, reporting, and program outputs as needed.
• Create and manage a deliverables plan. Review deliverables reporting. Implement SLA monitoring tool for all PBS vendors.
• Establish and manage all vendor management communications including all external communications materials, internal materials, and training materials.
• Create communications processes and templates as needed.
• Maintain listings, revisions and inventory of all vendor management collateral materials including reports, supplier contact information, training materials, presentations, etc.
• Develop and maintain internal communications program using email, newsletter (News & Notes) and marketing bulletin board.
Procurement Responsibilities:
• Support the Vendor Managers for management of all in-scope contracts throughout their lifecycle, including assisting with input into various Procurement and/or other internal Client systems for tracking and reporting.
• Track and assess the impacts of changes, amendments, and revisions to all in-scope agreements.
• Track the resolution of disputes and support escalation of contract related issues to the vendor manager or higher for resolution.
Represent PBS Vendor operations in EPO/Vendor IT requirements gathering for on boarding of new PBS vendors and enhancements to existing vendor relationships.

Supplier Relationships:
• Develops internal and external relationships with suppliers and cross-functional teams with regard to the following:
• Assist in maintaining a inventory by supplier by sub-category/niche service within the category of spend.
• Assist in resolving issues with suppliers.

Qualifications

Basic Qualifications:
• B.S.or B.A. degree in business, acctg, law or healthcare field. Or equivalent work experience.
• 2 or more years related vendor management experience, along with 2 years of financial and operational analysis in large, complex organizations.
• Strong operational and financial analysis skills, including advanced Excel, database management, and MS Access.

Preferred Qualifications:
• Knowledge of Client's commercial standards, procedures and procurement processes.
§ Working knowledge of healthcare business office practices is encouraged.
§ Knowledge of CA TPL, Worker’s Comp, Self Pay and/or Commercial collection standards, procedures and practices.
