Description
Primary Responsibility
To provide full administrative support to the European Contracts Administration function along with the London Sales Office. This role also carries an element of marketing administration.
Contracts Administration
- To provide administrative support to all Recruiters
- Obtain the appropriate authorisations in line with Company policies
- Upon authorisation prepare contracts
- To issue contracts as necessary
- To prepare final documentation
- To issue any follow up documentation as required
- Organising contractors travel and accommodation as agreed in their contract
- Ensuring and organising where necessary Contractor visa arrangements
- Ensure all paper and electronic contract files are kept accurate and up to date
Permanent Team Support
To provide full administrative support to the European Permanent Recruitment Division
Sales Support/PA Duties
- Arrange travel for London Sales Teams via the documented company process
- Assisting with formatting, producing and managing sales related documents
- Database support
- Ad hoc research
- Processing of expenses for management staff and expense support for all
- Organising UK Director Diaries where necessary
- Provide administrative support to UK Directors where necessary
- Working with IT department to solve any ongoing problems and provide day to day support
Office Management
- Answering of telephones and taking messages where necessary
- Office maintenance: stationery ordering, meeting room booking etc
Marketing Support
- Updates and revisions both scheduled and ad hoc of company Intranet
- Ensure information required for sales competitions is kept up to date and accurate
- Social media updates
- Sourcing and posting articles for twitter/facebook feeds
- Building our twitter engagement
- Ad hoc organising of London events for staff and clients
