Our client, a large energy and utilities company is currently recruiting for an experienced Executive Office Manager.

You will provide direct support to the clients Corporate Office and Executive Team in delivering all Facilities Management services including; service level achievement, key performance Indicators, business continuity/disaster recovery, environmental management, contract management, risk mitigation, performance improvement, budgetary control and customer satisfaction.

Further key accountabilities include -

* Manage all building management processes within the Corporate Office
* Provide dedicated support to the Executive Team including building administration and
hospitality, conferencing and reception/concierge
* Assist in the production of management reports and KPI's for FM business scorecard.
* Implement internal and external working environment procedures and practises.
* Supervision of minor FM Projects including control of contractors processes
* Assist in site FM Management and achievement of Service Level Agreements.
* Assist in the implementation of Key Performance Indicators for the corporate office
* Audit compliance with various service Levels, KPI's or Working procedures to ensure
conformance with stated procedures
* Audit conformance and ensure compliance of Company Policy and statutory requirements
(Health and Safety at Work Act 1974, Workplace Regulations 1992) in relation to Facilities
management.
* Liaison with International projects team to coordinate all moves and changes
* Liaison with Systems UK and Telecoms support.
* Supervise reception, mail and other administrative support functions
* Coordinate VIP visits including Chairman's office liaison and other important meeting
support eg board meetings
* Liaison with International Security team and assistance with onsite procedures eg access
control, fire planning etc

The successful candidates will have the following knowledge and experience -
* Must be bi-lingual in English and Spanish languages
* Intermediate knowledge of FM related skills, basic knowledge of Health and Safety or
equivalent
* Ability to show initiative
* Good communication skills, both verbal and written
* Confident user of IT systems such as Word, Excel, Powerpoint etc
* Ability to solve problems independently
* Ability to remain polite and professional in all situations
* Good time keeping and project management skills
* Excellent leadership and management skills
* Must be dependable and trustworthy
* Must exercise good customer service skills to both internal and external employees and
clients
* Knowledge of health and safety and risk management processes
* Management/supervisory experience
