PURPOSE OF JOB

  • To provide comprehensive executive support to the Director & Deputy Director.
  • To minute meetings, produce & distribute papers for Meetings of Governing Body Committees.
  • To set up & implement systems, IT & paper based records in support of Campus operations.
  • To work collaboratively with the Directorate & Corporate Services Team.

MAIN TASKS & RESPONSIBILITIES:
1. In common with all other staff:
1.1. To support the Campus's mission, vision & strategic objectives.
1.2. To implement the Campus's equal opportunities policies working actively to overcome discrimination on grounds of race, sex, disability, sexuality, age or status.
1.3. To participate in continuing professional development.
1.4. To implement the Campus's health & safety policies & practices.
2. In common with all support staff:
2.1. Participate in Campus-wide projects & tasks.
2.2. To work collaboratively to meet the specific needs of workload peaks.
2.3. Such other duties of a similar nature commensurate with the grade as may be required from time to time.This may, on occasion, require work in other locations/sites of the Campus, & work outside of regular daytime hours.
3. In common with all corporate services staff
3.1. As part of the corporate resources team, take part in campus development projects, this involves working with colleagues on project implementation teams & liaison with other campus & external service teams.
3.2. Attend & contribute to team meetings & briefings & support & supervision sessions.
3.3. Consult & feed back to colleagues & students as necessary, passing on appropriate information to other team members.
3.4. Other duties as reasonably required by the Head of Corporate Services
3.5. Participate in the annual cycle of CPD and contribute to the processes for self review and evaluation, Service Area Operating Plans & Campus Institutional Development Plans.
3.6. Supervise agency staff, trainees and students on work experience.

DUTIES & RESPONSIBILITIES:
4. Directorate support
4.1. To provide an efficient and consistent administration service to the Campus Director, and Deputy Director.
4.2. Required to filter and appropriately refer complaints, telephone and personal enquiries.
4.3. Required to receive visitors to the Directorate.
4.4. To liaise with the Local Education Authority on matters relating to the Campus Governing Body.
4.5. Required to schedule and maintain a diary of the cycle of meetings of the governing body & it's committees.
4.6. To assist in the production, distribution and chasing of governing body committee papers and to clerk & minute the meetings of the Student Disciplinary sub-committees on temporary exclusions.
4.7. To assist in the formatting and progressing of documentation for the SLT and produce papers and mail outs for wider campus distribution to a consistently high corporate standard.
4.8. To produce, draft, distribute and chase documentation relating to campus activities using discretion and maintaining confidentiality in sensitive issues.
4.9. To set-up & maintain comprehensive records, databases and filing systems.To build and index files, collate and circulate papers and operate a bring-forward system.
4.10. To produce timely & accurate statistical information, extrapolating data & producing reports as required.
4.11. To lead on developing and championing the Campus policy on sustainable development in liaison with Corporate Services & Student Services managers.
4.12. To progress documentation and information originating from the LEA within the campus
4.13. Manage/co-ordinate the director's diary, liaising as necessary with students, staff, parent's, governors, outside organisations and members of the public in arranging appointments
4.14. To assist in the preparation of schedules, lists and specifications for projects including annual CAPEX schedules requiring research and tracking.
4.15. Undertaking or assisting with specific projects across the organisation at the Director's request.
4.16. To arrange meetings as necessary including coordinating diaries, booking rooms, and arrange refreshments for a variety of functions where appropriate.
4.17. In your direct and indirect dealings with pupils you are expected to deal sensitively and appropriately with them, if necessary referring problems to other relevant staff.
4.18. To manage the At Risk' review procedures.
