Position: Office Administrator
Location: Ottawa based
Research Company is seeking a professional and experienced Office Administrator for a term contract ending March 31, 2012 - with the possibility of extension.
Start: January 2011
Responsibilities:
Clerical duties:
- Answer phones and forward messages
- Maintain company and client contact databases
- Perform basic bookkeeping tasks
- Order supplies and track inventory, as well as file and distribute mail
- Photocopy and collate documents for distribution
- Liaise with property management
Project duties:
- Assist project managers with administrative and coordination duties related to research projects (includes travel arrangements and expense reports)
- Maintain position as Alternate Company Security Officer (ACSO) and manage company security clearances
- Attend and document project and client meetings and prepare meeting minutes (as required)
- Maintain office and project schedules/calendars
- Assist with preparation and delivery of company proposal (RFP) submissions
- Assist with preparation of client deliverables, such as electronic/hard copy reports and document collections
- Data entry tasks related to client projects (as required)
Qualifications:
- 3+ years related experience
- College diploma/certificate and/or University degree
- Proficient in MS computer software applications (Word, Excel, Project), competencies in FileMaker Pro and Adobe Acrobat will be considered and asset
- Word 2007 and Excel 2007 training will be considered an asset
- Internet savvy
- Typing: 61 - 80 wpm
- Professional demeanour; excellent verbal and written communication skills
