Program Support Administrator (S8)
3 month+ contract
Offering up to $35 per hour including super

The Program Administrator will report to the Program Manager, and provide support to allocated Project Managers in the administrative and project control requirements of the Project Office.

The successful candidate's responsibilities will include the following:

  • Support the assigned Project Managers in the administration and governance of the project;
  • Organise and attend project team meetings, fortnightly review group meetings, produce minutes and maintain the project logs;
  • Assist in the planning and organising of  venues and resources for project workshops and presentations;
  • Assist the assigned Project Managers in the preparation of project reports and summary logs for relevant governance committees; the maintenance of project issues, risk, action and change logs, communications and document registers and Sharepoint libraries; with  weekly updates of scheduled project task completion;
  • Maintain and update project records and databases;
  • Assist the Project Managers and Project Co-ordinator in the Budget/Expenses tracking for the project;
  • Keeping Project Managers up to date on various issues relating to governance and the office activities;
  • Provide cover in the absence of the Office Program Coordinator

To be considered for an interview, applicants must demonstrate the following skills and qualifications:

  • Demonstrated experience in project administration to support technical project managers, technical projects or project office or program office .
  • Highly competent in the Microsoft Office suite of products including, Outlook, Excel, Word and MS Project;
  • Prior experience with TRIM and Sharepoint or similar, for document management and collaboration
  • Prior experience with Oracle Financials or similar for data entry and goods receipting highly regarded
  • Ability to collate, maintain and update complex Project Management documents;
  • Strong interpersonal and communication skills particularly in formatting written briefs, documents and letters.
  • Ability to work in a team environment and to interact with all levels including senior managers, program managers, vendors and general staff.
  • Knowledge and understanding project and program governance frameworks, processes and standards.
