This is maternity cover and the contract will be for 12 months with the option to extend in March 2013. We would like a part time employee working either a number of full days per week, or a number of hours over 5 days.

We require an individual who will be responsible for Office Administration whilst also assisting with Project Management. The role will be approximately 25% Office and 75% Project. We are looking for somebody who can keep on top of a lot of tasks and deadlines, taking responsibility to either complete them OR delegate them to another member of the team (following up to make sure they have been completed).

General Requirements

* Good attention to detail
* Punctual and reliable timekeeping
* Taking ownership of tasks and actions
* Capacity to track multiple tasks at any one time
* Good telephone manner
* Windows computer skills with Microsoft Outlook/Word/Excel experience necessary
* Experience of using online websites/Microsoft Project not necessary but preferred

Project Administration

* Ability to remind staff of deadlines and chase to make sure actions are completed
* Updating online Project Management System
* Managing the receipt/return of Client assets
* Purchasing project assets
* Dealing with suppliers and freelancers
* Updating documents during weekly Production Meetings
* Creating and maintaining quotations
* Updating project plans
* Proof reading and checking documents
* Downloading and uploading files to websites
* Inputting data into Support Ticket System
* Testing product prior to shipment
* Taking and transcribing meeting notes
* Archiving digital assets

Office Administration

* Answering phone and taking messages
* Answering the door to visitors and deliveries
* Managing office supplies
* Managing post and courier shipments
* Contacting landlady and contractors with any issues
* Keeping the meeting room and staff holiday diaries
* Keeping the support contract management diary
* Managing petty cash, including reimbursing staff expenses
* Ensuring meeting room and office is tidy
* Organising hospitality and hotels
* Organising staff functions
