Estate Manager - Crescent Wood Country Estate

we are looking to recruit an experienced estate manager for an initial fixed 12 month contract (this is to be reviewed on an annual basis)

The appointed Estate Manager would have Matriculated and have the required admin skills in managing an office of this nature along with the appropriate computer skills. The incumbent must be a self starter and manage their time appropriately ensuring that the day to day issues are dealt with and the required documentation and administration is retained in a logical filling sequence for future referencing and stored in the Estate Manager Office. The Estate Manager must speak fluent English as this is the official language of communication of the Estate.

 

The appointed person shall have a good understanding of how section 21 companies are managed and run. Further, the Estate Manager is required to liaise with governmental bodies and 3rd parties when required. The Estate Manager must have the required confidence and people skills to manage this portfolio. 

The Estate Manager is required to manage daily operations within the estate and ensure the smooth running of Crescent Wood Country Estate by:

Ø   Managing the estate service providers such as garden services, security, maintenance, etc. work carried out by the service providers must be verified on completion.

Ø   Ensuring security, garden services and other contracted work, operates as per contract and BOD is informed of non compliances

Ø   Managing the submission of building plans and liaising with appointed aesthetics consultant and Aesthetic directors wrt approval of building plans.

Ø   Inspecting building sites for compliance to rules.  Where rules are breeched, the owners are notified of such a breech in writing to rectify or a fine shall be levied against the owner if not done in the required time frame.

Ø   Ensuring all contractors abide by rules and contractor cards are issued

Ø   Attending weekly BOD meetings to capture minutes and distribute these minutes

Ø   Attending SGMs and AGMs when held

Ø   Managing the admin of the Estate and ensure accurate records are maintained for future use, including minutes of meetings and associated documentation.

Ø   Managing ad-hoc / part time staff when required

Ø   Managing the Estates facilities and use thereof. i.e. clubhouse, tennis / squash courts, swimming pool, gardens. Ensure appropriate measures are in place to maintain the facilities of the estate are adequate and make recommendations for improvement where necessary.

Ø   Developing procedures and policies in conjunction with the BOD

Ø   liaising with residence on queries and assist where possible. 

Ø   Communicating with residents when required wrt violation of rules and follow up on corrective actions taken. All written communication to be in English and retained as evidence if required.

Ø   Conducting ad-hoc activities when requested by BOD such as Quotations for repairs and upgrades as requested by BOD, Managing ad-hoc upgrade projects

Ø   Liaising with management agent as required and mandated by BOD.

Ø   Decisions required to manage the estate that has not been mandated to the Estate manger shall be referred to the BOD for final approval and decision making.

Ø   The Estate manager shall be requested to work after hours during BOD meetings (weekly meeting), SGMs, AGMs and other events from time to time.

The Estate manager MUST have their own transport.
