Description

  • Accurately maintain archives and databases for Project documentation using in house document management system and Project specific spread-sheets/databases.
  • Collect, issue, receive and distribute incoming and outgoing Project documentation within pre-agreed timeframes.
  • Responsible for the organisation and storage of all incoming and outgoing project documentation using in house document management system.
  • Generate and issue Project document status reports on a regular and timely basis.
  • Monitor status of project documentation on an on-going basis and work with Project Team and internal departments to expedite overdue actions.
  • Maintain Project Master Document List in accordance with, Company Documentation System requirements and Project requirements.
  • Collate Project document status report and issue to internal & external customers.
  • Attend Project meetings and report the current status against plan for project documentation.
  • Ensure that Project documentation control meets with Project specific requirements in addition to all applicable internal policies and procedures.
  • Provide support to other Projects during periods of increased activity or staff absence.
  • Personally take responsible for the quality of work, making a positive contribution to the quality of both the department and the work carried out by their colleagues. Document Controller is responsible for carrying out other documentation tasks and administrative activities as required by Project or, as directed by Functional Leader.

Contractor Ideal/Special Experience:

  • Experience of working with controlled document management in an Engineering, Projects or Manufacturing environment.
  • Experience in the use of formalised document control processes and tools.
  • Knowledge of documentation workflow, understands the processes involved in EDM.
  • Be fully aware of the implications of errors in document management.
  • Working knowledge of IT aspects of document management in addition to competency in MS Office applications (Word, Excel, PowerPoint, Outlook) at intermediate level.
  • Good keyboard skills
  • Ability to communicate clearly and effectively in the English Language (written and oral) with internal and external interfaces.
