Principal Responsibilities:
Projects
Provision of support for all projects but specifically the current London Accommodation Project to include project team diary management and co-ordination, room bookings, document management and distribution and general administrative support.
Contract Management Support - Travel
General assistance as required and to include prompt communication of travel security alerts and travel security policy reminders, dealing with ad hoc queries from travellers, travel providers and Schroders' overseas offices. Assistance with reporting, service reviews and service projects.
Intranet Maintenance
Responsibility for all Corporate Services web site development and updating including travel, health and safety, catering, environmental, security, fitness centre, stationery ordering and business continuity.
Finance - Suppliers, Contracts, Tender Process and Support
Manage process for new supplier applications ensuring all relevant documentation is requested, received, communicated and applications processed promptly. Provision of administrative support and responsibility for distributing all departmental Requests for Tenders and Tender Documentation. Support for the Procurement Department for any projects they are working on within the business. Creation and maintenance of database and responsibility for ensuring signed contracts are added to the shared drive and securely filed. Provision of absence cover for Finance and Procurement Assistant ensuring purchase orders and invoices are promptly processed within the Requisition to Pay system.
Electronic Records Management
Administrative support for the Records Manager to include production of documents, organisation of meetings, management of project documentation and project support as required, coordination and management of departmental records repository (SharePoint site, shared drive, etc) through application of agreed rules. Sharepoint expert to assist all department members with any queries relating to records management or the Intranet.
Head of Corporate Services
Management of Head or Corporate Services' diary, telephone calls and provision of general ad hoc secretarial duties including the consolidation of monthly reports from departmental heads.
Environmental Management
Provide contributions and support for ad hoc projects to raise environmental awareness within the company.
General
Continual updating of Administration Procedures document and the provision of support when Finance Assistant or other Administrative Assistants are either busy or absent.
