Senior Legal Admin Assistant

Overview
There are approximately 200 Legal associates across the region of which 160 are based in London. We also have a Legal team of approximately 17 in Chester mainly covering Card Services. The Legal Department provides professional legal services for the bank. We address legal risk, provide creative solutions, and identify opportunities. Our General Counsel is also a member of the EMEA Executive Committee. With regard to the administration function, there are 26 admin associates in our Legal Practice Group Services Team which includes Legal Admin, Legal Invoicing, Legal Operations and LegalTech. This role falls under Legal Administration and is currently based at 5 Canada Square.

Job description
Provide a full range of administrative and secretarial support to nine lawyers.
Produce letters, memos, presentations and spreadsheets.
Answer the telephone and filter calls, take accurate messages and deal with general enquiries.
Diary management using Outlook.
Arranging travel and travel itineraries.
Expense reconciliations using the internal system (Concur).
Dealing with incoming and outgoing mails, scanning and stationery management for the department.
Assist with any ad-hoc projects for the team or department eg archiving project.
Reviewing and marking up power of attorneys.
Reviewing and marking up reference letters
Arranging letters to be notarized and apostilled
Liaising and obtaining fee estimates from outside counsel and liaising with internal business.
Submitting Retention of Outside Counsel (ROC) forms.
Comparites (combining multiples versions of a document for the purposes of review).
Logging IT problems for team.
