Description
- Answer the phone and transfer to the appropriate staff member
- take and distribute messages
- greet public and clients and direct them to the correct staff member
- receive, sort and distribute incoming mail
- monitor incoming emails and answer or forward as required
- prepare outgoing mail for distribution
- faxing, scanning and copying of documents
- maintain office filing and storage systems
- retrieve information when requested
- coordinate and maintain staff administrative records such as staff parking, staff phones and passport details
- type documents and correspondence
- help organize travel arrangements for staff
- coordinate and organize appointments and meetings
- assist with event planning and implementation
- monitor and maintain office supplies
- ensure office equipment is properly maintained and serviced
- perform work related errands as requested such as going to the post office and bank
- working with outsourced accounting department and HR for payment, employment and payroll procedures and issues
- reviewing and approving supply requisitions
- maintain contacts with suppliers and assure timely payments for services (mobile phones, travel, events, medical insurance etc)
- provide visa support
