An excellent opportunity has arisen working for a Major Financial Organisation of ours for a Secretarial Office Manager.

The Client is looking for someone to supervise & monitor the day to day activities of the secretarial team. To provide support where necessary as business requires. To lead, motivate and develop the secretarial team. To provide secretarial support to a Regional Directors

*Balance delivery of key tasks, prioritising work according to business pressures and deliverables
*Supervision of day to day activities, ensuring workload is balanced across the team
*Management of holidays and absence to ensure adequate cover in place
*To lead and motivate the secretarial team and support the team to deliver against agreed objectives
*Coach and develop secretarial team members
*Champion process improvements
*Prepare variety of documents, using standard formats/packages, adhering to brand guidelines and regulatory requirements
*Undertake ad hoc 'mini projects', involving appropriate research and planning, organisation of resources and tracking key deliverables and milestones
*Sensitive management of confidential and personal information
*Co-ordinate events/meetings, making all necessary arrangements, preparing advance documentation and ensuring appropriate recording and follow up of actions
*Provide a professional diary/time management service, building in regular meetings and performance management responsibilities
*Make travel arrangements (rail/air/accommodation), booking in advance where possible to ensure cost effectiveness
*Prioritise, acknowledge and distribute correspondence
*Manage professional response to telephone calls, taking ownership of queries
*Management of email system, prioritising & responding where appropriate
*Undertake routine administrative tasks such as filing, photocopying, faxing & collating of information
*Establish & maintain administrative systems and processes which ensure appropriate document storage and retrieval
