Document Controller - Surrey

My client, a high profile oil & gas company, is looking for a Document Controller to join their team in Surrey, working on an Offshore Upstream project in Egypt.

Key Roles & Responsibilities

Undertake all document control activities for the Project Management Team:
Ensure WND document management specifications and procedures are implemented and followed by Project personnel at all project locations including Contractors offices.
Ensure all WND documentation produced both internally within the WND team and by contractors/suppliers meets Company standards (numbering, attributes, templates) and is maintained as appropriate within the WND Central Document Library - SharePoint/ShareCat.
Work with the document review process within the WND team, ensuring workflows are closed and comments returned to Contractors/Suppliers
Ensure all documentation created/received is efficiently uploaded into the WND CDL SharePoint/ShareCat and distributed appropriately for review and comment.

Ensure all document attribute information is maintained within the CDL, and Document Register reports are correct.
Issue Document Registers, Deliverable Status and Review Workflow reports to the WND management team, and expedite outstanding issues.
Interface with Contractors/Suppliers to ensure handover of records is achieved on time and meets Company requirements.
Maintain the Document Distribution Register and any other registers for transmittals/technical queries etc as required.
Expediting the response for technical queries/returned comments to ensure deadlines are met.
Support the WND team in the creation and formal issue of technical documents and reports.
Maintain hardcopy files as required to accompany electronic versions held within the CDL SharePoint/ShareCat systems.
Support the Lead Document Controller with the process of information handover from the WND Project to the Operating Team, ensuring any historical records are complete and archived appropriately.
Collate from various locations all Company project documents and store in the PMT ShareCat Document Portal Work to PMT document control plans and procedures and ensure the team are fully aware and trained in the project document control processes.
Support the Lead Document Controller to carry out new ShareCat system functionality testing and produce testing reports
Formatting of Project documents
Produce weekly document overdue reports to the Project and expedite accordingly.
Ensure all Contractor Document Distribution Matrices are maintained correctly.
Ensure all Documents that are issued through the CDL are quality checked to the highest standard and in line with WND Document Numbering Procedure
Produce and Maintain Project Action Tracking Register
Produce and Maintain Project Management of Change Register
Act at Project Management Control System Super User and work alongside the Project PMCS Co-ordinator
Train project personnel on various systems and processes to include ShareCat/SharePoint and Project Management Control System (PMCS)
Create and maintain ShareCat end user training guidelines.

COMPETENCIES AND EXPERIENCE

The Document Controller should have some level of previous experience in document management. Ideally this should include experience within a client or contractor team in a major project environment, dealing with Contractors/Suppliers, and experience in the administration and user support of an EDMS.
Previous knowledge of an EDMS is preferred as well as previous exposure to Sharepoint/Sharecat.
Strong general IT skills, particularly with Word templates and Excel.
Good communication and documentation skills are essential.
The post-holder should have a high degree of motivation and energy and a desire to contribute to the success of the Project.
He/she should be a team player with a track record of responsibility for execution and delivery in a team context.
