The successful Project Coordinator candidate will report into the Innovation and Advanced Technology group. This group identifies, assesses and pilots innovative technologies that can help improve quality, affordability and service. The Project Coordinator will provide project/program support for: engagement management, integration management, scope management, time/cost/resource management, quality management, procurement/vendor management, and communication.

Duties may include administrative support: managing calendars, coordinating schedules and activities, scheduling travel, and preparing expense reports. Duties also involve placing procurement orders for hardware/software supplies and services, compiling and analysing project/financial reports, and tracking project/program progress and results.

This position requires excellent communication skills as Project Coordinators may provide professional advice to best practices and procedures to project/program principals.

Project Coordinators must have a working knowledge of databases, project management software, and project management methodologies.

Job Responsibilities Include:
Assist IAT program leads in creating and distributing various project documents required by IT-Oversight and IT Project Management (eg developing and publishing project deliverables, documents, budgets, and other reports).
Facilitate communication within IAT and among IT,  business partners, and vendors using online collaboration tools.
Monitor RPM (time-entry system) and assist with monthly and/or weekly status updates.
Prepare and submit purchase orders and capital requests through OneLink
Create or update SLA's, SOW's and recharge agreements.
Provide NIKU resource reports.
Assist PM with ad hoc reporting requirements
Partner with Financial Analysts by providing capital and non-capital reports to PMs for reporting actual and committed dollars.
Develop and maintain project document library.
Participate in project team meetings and assist in documenting/updating action items, issues, user requirements, and project schedules.
Assist IAT program leads with calendar management, scheduling meetings, gathering travel requirements (eg order airline tickets, arrange hotels and local transportation), responding to mail, and distribution of documents and materials.
Prepare accurate reports or presentations from verbal and/or written directions.
Propose alternative solutions to identified gaps and obstacles in current project initiation and reporting processes.
Provide general administrative support for the department and its locations.
Handle logistical, infrastructure, and organizational support matters required by the organization's staff, including facility and equipment management.

Skill Requirements:
Minimum 3 years project coordination/administrative support experience.
AA degree required.
Advanced Excel skills (workbooks, pivot table formats, data extracts, formulas);
financial analysis background; proficiency in Visio, Powerpoint, Word and Microsoft Project.
Must have good communication skills, be well organized, detail oriented, have good planning skills, be problem solving/analytical, self-directed, team focused, and results oriented.
Background in financial processes including general ledgers, invoice management, capital/operating expense management, and budget forecasting.
Experience with budget management, resource management, procurement management, project tracking.

Preferred Skill Requirements:
5 years project coordination/administrative support experience.
Bachelor's degree preferred.
Knowledge of Lotus Notes, RPM, NIKU, Remedy, MS Access, and OneLink a plus.
