For the Office for Harmonization of the Internal Market (part of the EU), we are looking for a Video Conference Support Technician.

Video Conference Support technician

To provide dedicated support to Fujitsu's customer for the use of meeting rooms, conferences and Video conferencing facilities and audio visual equipment including the scheduling, support and documenting of meetings for project management and other project users in customer Buildings.

Coordinate meetings with other project operating locations where required and ensure that the most cost effective technology is used to support project meetings and user's needs.

There are four areas that have to be considered: 

  • Meeting rooms; 
  • Conference; 
  • Video Conference ( ViCo); 
  • Ad Hoc speeches/events technical support.

Requirements 

  • Meeting rooms:
    a. To check the meeting rooms before any scheduled meeting request: IT hardware, audio, projectors, etc;
    b. Liaise with facility management if there are any issues;
    c. Check the scheduling in advance, offer support when necessary at the beginning of these meetings;
    d. Have the stock of peripherals (pointers, mp3 recorders, spare projectors, etc.) available;
    e. There are currently 46 rooms classified as meeting rooms, distributed across both buildings;
    f. Respond quickly to equipment faults or offer alternative facilities when required;
    g. Check all IT side of all the meeting rooms at least once a month. 
  • Conference:
    a. Liaise with the client secretariat or organisers of the conference;
    b. Give technical assistance for the events: preparing and managing the audio-visual equipment;
    c. Record the events;
    d. Control the Bosch DCN central fixed full assembly;
    e. Manage the microphones for closed presided conferences;
    f. Coordinate the moves from full assembly rooms to the smaller 6 possible scenarios;
    g. Mange the coordination between third parties (facility building issues) and the conference: Lighting, heating, projectors, faults, etc.;
    h. Keep track of the peripherals for each scenario;
    i. There is currently a scenario of 136 seat full assembly, inner and outer circle, (full assembly) and a selection of six other scenarios: a largest seating scenario of 50 persons, to the smallest of a forum of 12;
    j. Mange the two mobile Bosch DCN antennae;
    k. Managing the contracts for technical equipment such as Vitelsa for the DCN and others;
    l. Coordination with Communications Service for the management of camera system;
    m. Coordinate technical simultaneous translator requirements;
    n. Coordinate with network administrators and security for WIFI access rights;
    o. Ensure network availability. 
  • Video Conference:
    a. There are three meeting rooms with the ViCo CISCO systems in Spain and one in Belgium.
    b. Provide assistance and training to the users of the ViCo facilities;
    c. Be available to respond quickly to faults or problems with the meetings;
    d. Co-ordinate with network administration for service and availability. 
  • Ad Hoc speeches/events technical support.
    a. Coordinate with the project managers of the events, and third parties;
    b. Arrange technical side for the sound, visuals etc.;
    c. Be present for troubleshooting, and issue resolution.

JOB SUMMARY:

Key individual accountabilities:

  • Handle the daily scheduling, production, troubleshooting and issue resolution process for all meeting rooms including video conferencing end points, and other AV systems;
  • Demonstrate technical competency and achieve the highest level of customer satisfaction;
  • Responsible for accurate setup and efficient operation of intermediate event/meeting technology equipment;
  • Troubleshoot, repair, and calibrate all AV & VTC equipment and systems. Schedule, coordinate, and oversee all system maintenance, both preventative and emergency including coordination with third parties, both FM and IT audio maintenance;
  • Provide in-room support for Executive video and Tele-presence rooms;
  • Execute change management and compliance processes;
  • Produce appropriate documentation for deployment and on-going support, keeping the designated back-up staff up to date;
  • Provide transparent and effective communication to the business functions;
  • Maintain effective relationships with client Management and industry peers to keep informed of evolving practices and customer needs;
  • Provide monthly reports including I needs and incidents references for the meeting rooms/conferences/ViCo;
  • Exceptional conferences will be added as a resource constraint and will be monthly passed to the line manager;
  • Keep track of statistics of usage.

  • Participate to the definition of video conferencing services development and service reliance;
  • Support all client departments shared support structures to efficiently support Business activities;
  • Monitor and improve the performance & competitiveness of the services.

Job holder Profile:

  • Strong inter-personal/communication skills;
  • Excellent multitasking capabilities;
  • Good organisational skills;
  • Ability to work under pressure;
  • Knowledge of video-conferencing equipment and typical IT solutions;
  • Good language skills (minimum fluency in English and Spanish, other languages an asset);
  • Confidentiality a must;
  • Knowledge of DCN;
  • Prepared to work out of hours.

Reporting:

  • Prepare monthly reports regarding the services as required.
