A Finance Officer is required for the facilities department within an investment bank to manage and monitor all financial and accounting aspects of UK premises and provide administrative assistance to the Head of Sourcing.

Responsibilities:

  • Invoice processing - code, record and authorise all invoices for AP payment process
  • Accruals, Prepayments & journals - compilation and application of monthly UK Premises costs
  • Compilation and application of monthly Depreciation & Funding costs
  • Compilation and application of monthly occupancy costs
  • Compilation and charging of monthly print room costs
  • Monitor expenditure - analyse ongoing expenditure (including capital and project) and compare to Plan targets on a monthly/quarterly/annual basis
  • Budget Planning - compilation and submission of UK Sourcing & Real Estate annual operational Plan
  • Allocations - manage and monitor internal allocations to business units
  • Contracts - support contract managers with analysis of contract expenditure/charging eg catering/hospitality, security/cleaning, etc
  • Assist with administration of some aspects of premises, especially where there may be a financial impact eg local authority rates, insurance, etc.
  • Sourcing Administration - ensure contracts are compliant with spend authorization, Company Policy and Corporate Services procedures in preparation for contract submission to Contract Manager Group
  • Sourcing Support - provide support for Management Team including developing deal files and maintaining records for audit purposes
  • BCP Support - provide continual support for the Site Operating Team as Second Alternate

Knowledge Required:

  • Knowledge of basic financial and accounting concepts (P&L, balance sheet, accruals, etc)
  • Knowledge of financial systems, accounting and procedures
  • Knowledge of Excel, Word, and Outlook required; Access and PowerPoint preferred
