Role: Payroll Specialist

Location: Brandon, Fl

Duration: Long term

The Payroll Specialist is responsible for the resolution of complex employee and manager inquiries and requests that are escalated mainly via Tier 1. The Payroll Specialist will research the issue, use case management tools to track the status and progress of employee and manager inquiries. The inquiries will be related but not limited to payroll and timekeeping. The Payroll Specialist collaborates with HR Business Partners, HR Services, and Centers of Expertise as needed. This position also provides regular status updates to the customer, maintains customer contact until the request is resolved, and follows up on resolution. The Payroll Specialist is also responsible for the accurate and timely preparation and disbursement of complex payroll, timekeeping, or garnishment transactions. Resolves complex employee, manager, and HR inquiries and requests that are escalated mainly through Tier 1 regarding absence requests and balances; recording time data; payroll payments, history, and adjustments; annual tax statements; overpayments; returned paychecks and direct deposits; and stop payments. Assumes ownership for cases assigned, and monitors the status and progress of escalated items in the case management system. Updates other systems as required. Provides regular status updates to customer, maintains customer contact until request is resolved, and follows up on resolution. Collaborates with HR Business Partners, HR Services, and Centers of Expertise (COE) as required in order to resolve cases. Understands scope of services and escalates items to COE as defined. Abides by documented Quality guidelines when handling customer calls. Uses professional and customer-focused approach to handle customer inquiries. Ensures client privacy where appropriate, including confidentiality and protection of sensitive client reports or information. Ensures quality customer experience by communicating empathy to de-escalate difficult situations. Follows operational procedures by adhering to an assigned schedule. Displays dependability by being punctual and achieves an appropriate level of attendance. Uses excellent verbal communication including proper grammar, tone, and a clear speaking voice to ensure solid communication with the customer via phone. Demonstrates excellent written communication skills including proper grammar and correct sentence structure to document cases in the case management system and communicate with customers and employees via email. Responsible for accurate and timely preparation, disbursement, and/or related functions of: Salaried exempt payroll Executive, expat, inpat, shadow, nonqualified pension retiree payroll. Relocation, stock option, dividend, MIP, incentive, supplemental MESIP payments and share transactions. Short term disability Union and voluntary deduction payments and related balancing or analysis. Post separation action in SAP and maintenance of severance pay. Voids and reversals for payroll checks. Auditing weekly payroll processing balancing from timekeeping through net pay calculations. Handling payroll check disbursement to banks, related balancing, and subsequent check printing. Maintaining required coding structures in Sales Commission Interface (SCI) system. Maintaining pay rules and Labor Cross Charge table in timekeeping system. Training managers on the timekeeping system. Calculating and processing overpayments. Reading, reviewing, interpreting, and responding to legal garnishments in compliance with state and federal laws as well as CCE policies Identifying escalation process for items needing review by staff paralegal. Testing and validating changes or updates to the HR/Payroll syste. May assist with inbound and outbound calls, process improvement, support work, knowledge base improvement suggestions, and peer coaching.

EDUCATION

  • High School Diploma or GED required
  • College coursework in HR or Business preferred

EXPERIENCE (required)

  • 3+ years of related payroll experience.
  • Computer aptitude, including typing of at least 35 wpm, accurate data entry, and the ability to effectively work in a Windows based environment.
  • Excellent verbal and written communication as well as listening skills.
  • Must work well, both independently and with a team.
  • Ability to work in a fast paced, rapidly changing environment.

EXPERIENCE (preferred)

  • Previous customer service experience in a customer contact center.
  • SAP experience
  • Case management system experience.
  • 1+ years Kronos or other automated timekeeping system
  • Working knowledge of collective bargaining agreements.
  • 1+ years CCE payroll experience.
  • Knowledge of flexible benefit plans, fringe benefits, calculation of manual checks, and 401k plans.
