PA to Director, Maidenhead

Fantastic opportunity for a PA to Director to join a leading organisation based in Maidenhead, Berkshire.

Working within the Programme Office, you will provide professional, proactive and comprehensive support to the Director of the Programme Office

You will be the first point of contact for the Director, taking ownership of requests and communications and actioning them in a timely and appropriate manner.

Responsibilities:

-Proactive diary and time Management
-Provide proactive diary management and the co-ordination of meetings and all related arrangements ie taxis, transfers, hotels, dinners etc
-Use judgement when scheduling meetings; determining the purpose of the meeting and the time that will be required and ensuring all relevant meeting documents (including agendas, pre-reading, prep, action updates and input from the team) are available prior to the meetings.
-Have regular reviews to revisit current prioritise to ensure the meeting schedule is optimised.
-Support the wider Programme team when appropriate.
-Email management and correspondence management for the Director of The Programme Office
-Manage email at all times and delegate emails to the team where appropriate ensuring they are tracked to completion.
-Respond to emails where appropriate using the email filing system to clearly identify those emails you are managing on the Directors behalf, and flag any urgent emails for response.
-Action Tracking for the Programme Office Management team
-To ensure all actions are logged, tracked and completed in a timely manner.
-Distribute actions to the team where appropriate and track regularly to ensure completion.
-Attend meetings as required to capture actions and meeting notes.
-Communications & Relationship Management
-Prepare and revise documents where appropriate including PowerPoint presentations, letters, emails and memos.
-Build and develop internal and external network of contacts on behalf of the Director of The -Programme Office
-Build knowledge of key issues and business activities in order to effectively identify priorities.
-Assist with preparation, planning and coordination of Wider Leadership Team Meetings/Monthly/Quarterly updates.
-To work collaboratively with other Personal Assistants and different parts of the organisation to contribute to the smooth running of the business.
-Take on different projects from time to time.
-Headcount & Travel Budget management
-Take ownership of tracking headcount and travel costs against budget

Skills and Experience

-Excellent time management and self-organisation skills with the ability to work effectively to tight timescales and under pressure/stressful situations.
-In depth working knowledge of Excel, Word and PowerPoint.
-A quality driven approach consistently aiming for high standards.
-Flexibility regarding working hours and tasks undertaken.
-The ability to plan ahead and anticipate potential problems.
-The ability to form network with staff at all levels and influence effectively.
-The confidence to use your own judgement to proactively make decisions as and when required.
